Assistant Manager of Day Services
Job description
Summary/Objective
The primary role of the Day Services Assistant Manager is to ensure that all of the needs of the people supported in the program are met while working in partnership with them to achieve their Personal Outcomes. This includes working with them to develop daily living, professional and informed decision making skills while also supporting their health and safety and ensuring their rights are both promoted and respected. In order to accomplish this, the Assistant Manager leads a team of Habilitation Specialists and Direct Support Professionals and in conjunction with residential and clinical providers to work alongside the people they support to develop plans to meet the individual’s needs. The Assistant Manager is also responsible for ensuring that these plans are both followed and documented in an appropriate manner. In addition, the Assistant Manager is responsible for providing supervision and support to the Day Services Habilitation Specialists (HS) and Direct Support Professionals (DSP).
Essential Job Functions
In addition to being responsible for all of the Essential Job Functions of a Habilitation Specialist and Direct Support Professional, as needed, Assistant Manager’s Essential Job Functions include, but are not limited to, the following:
- Work with the people we support to help them identify and realize their personal life goals
- Work in partnership with the people we support to ensure that their rights, health, safety and personal outcomes are being supported at all times
- Effectively communicate and support the organization’s mission, vision and values
- Advocate with the people we support in a variety of situations
- Work with the people we support to teach them new life skills
- Work with the people we support and other members of the interdisciplinary team to develop service plans that aid the person in achieving their personal life goals
- Assist the people we support to overcome barriers and challenges to establish and maintain a network of relationships and valued social roles
- Provide positive behavior support to the people we support as necessary
- Prevent, recognize and report abuse toward the people we support
- Promote and support community involvement for the people we support
- Adhere to the organization’s Code of Ethics and all other agency policies, procedures and best practices.
- Always communicate in a respectful manner with all people including the people we support, supervisors, other valued team members, and members of the community.
Duties and Responsibilities
- Maintain ongoing communication with the individual, residential staff, family members and other collateral providers involved with the program and individuals served
- Interview, hire, develop and retain high quality staff
- Supervise, train, observe and evaluate assigned Habilitation Specialists (HS) and Direct Support Professionals (DSP)
- Complete initial period of employment performance appraisals in conjunction with the Agency training packet
- Complete employee annual performance appraisals as per Agency policy
- Train assigned Habilitation Specialists/Direct Support Professionals in the appropriate implementation of services, activities, interactions and documentation
- Train team members on the electronic record keeping in order for them to provide/document services (Medisked)
- Ensure required documentation is completed accurately, thoroughly and in a timely manner (contemporaneously) by assigned Habilitation Specialists and Direct Support Professionals
- Complete daily validations
- Coordinate and complete the required Annual/Semi-Annual review process for Individuals assigned
- Accurately document daily service provision, monthly notes and other information as required
- Attend assigned individuals’ Life Plans/Annual/Semi-Annual/IDT meetings
- Oversee that the recommendations made at meetings are carried out
- Monitor assigned individuals progress on a monthly and on an as needed basis
- Ensure all records of individuals assigned are kept up to date (paper and digital)
- Attend committee meetings as required or assigned
- Assist in training and orientation of new staff and/or floating staff
- Train Habilitation Specialists in supervisory responsibilities in regard to the Direct Support Professionals
- Assume the full responsibilities of QIDP for assigned caseload
- Obtain required documentation from collateral providers and ensure documentation is scanned into the individuals’ electronic records
- Create a working climate that provides growth and job satisfaction
- Ensure all HS/DSP team members are fulfilling the roles and responsibilities of their positions. Provide supervision and guidance to all team members working in the program on an ongoing basis. Address performance issues though performance improvement or corrective action measures
- Manage and approve team members’ time worked in the program (Kronos)
- Keep Day Services Manager informed of significant matters that occur throughout the day
- Conduct regularly scheduled mini-team meetings and staff meetings in conjunction with the Day Services Manager

- Complete all required trainings
- Ensure all team members remain in compliance with required trainings (SCIP, CPR, AMAP & all required Relias monthly trainings)
- Review and implement all requisite documentation, including fire safety, team member trainings, etc. accurately, thoroughly, and in a timely manner in accordance with New York State and/or Federal regulations and Agency policy, if applicable
- Report all violations and/or accidents in Agency or personal vehicle to your supervisor/police in accordance with New York State regulations and Agency policy.
- Follow OSHA regulations, and ensure all staff follow OSHA regulations, including universal precautions.
- Maintain confidentiality
- Other duties as assigned
Qualifications
- 18 years of age or older
- High School Diploma or equivalent
- Minimum of two years’ experience in related field
- Supervisory experience preferred
- Ability to lift at least 50 pounds or more
- Daily standing, bending and lifting
- Must be able to stand for at least eight hours at a time
