Company Overview

Rolling Embers is a wholly owned subsidiary of Ember Enterprises, LLC, and was created to own and operate an adult-use cannabis store offering a wide variety of adult-use cannabis products in New Buffalo, Michigan. Rolling Embers will strive to provide exceptional products and customer service to become a one-of-a-kind cannabis destination and experience.

Department Overview

The Retail Department is the public-facing and customer-engaging branch of Rolling Embers. As such, it serves as a gateway to maintain connection with the Rolling Embers customers in the community. The Retail Department and its staff showcase and sell a wide range of products, accessories and other brand merchandise. This team prioritizes exceptional service to all patrons and the promotion and representation of the Rolling Embers brand.

Position Summary

The Assistant Store Manager is responsible for all day-to-day operations of the store including staff oversite, proactive customer engagement, and thorough inventory management. The Assistant Store Manager will also be responsible for ensuring the safety and satisfaction of all customers and employees, and inspiring staff to deliver the highest level of consistent customer service. They are responsible for upholding the mission and values of the company and ensuring that their team delivers excellence at all times.

Additionally, the Assistant Store Manager provides the managerial skills and presence necessary to ensure Rolling Embers can effectively engage with customers and drive growth of the organization with a consistent and desirable retail experience. This position ensures that the retail department operations are in compliance with the relevant regulations and internally approved Standard Operating Procedures (SOP's).

Finally, the Assistant Store Manager collaborates with the General Manager and others on the management team to develop, document, and implement practices, policies, and strategies that support a performance and results-driven culture.

Primary Duties/Responsibilities

Due to the size of our organization, multiple members of the leadership team will wear multiple hats as it pertains to the below identified responsibilities and duties. In addition to the items identified in the Position Summary, the Assistant Store Manager also responsible for:

Store Management

  • Fostering a success-oriented, flexible, and accountable environment
  • Delivering a superior level of customer service, both in person and on the phone; and coaching retail staff on the commitment to customer service
  • Consistently modeling professionalism and serves as a role model to retail staff during periods of high stress and ambiguity
  • Assisting with hiring and training new employees
  • Managing, supervising, and directing the daily activities of the team to include delegating tasks among the Sales Associates as well as monitor general workflow
  • Preparing weekly schedules to ensure there is proper sales floor coverage, based on business needs and expectations; monitor attendance
  • Directing all product display mock-ups; ensure brand consistency and integrity are maintained
  • Updating the product menu as needed
  • Maintaining knowledge of all computer and technology systems and software. Ensures response to all systems problems by contacting information technology support and seeking solutions
  • Ensuring all administrative processes involving personnel are handled on a timely basis (i.e., performance evaluations, salary reviews, time sheets, change of status forms, etc.)
  • Conducting ongoing training modules for products, systems, and procedures
  • Acting as liaison for security issues when the General Manager is not on site
  • Overseeing cash management, including regular bank deposits; and is responsible for training retail staff on proper cash handling procedures
  • Opening and/or Closing the store each day
  • Other duties as assigned by the General Manager

Inventory Management

  • Learns to analyze inventory trends and supervises inventory management, including ordering items, keeping stock, and leveraging company resources to avoid outs and overstock
  • Coordinates and schedules all inventory deliveries, in conjunction with the Management team
  • Greets vendors and security guard at secure access point, checks and verifies ID’s (issues visitor passes with approval of security)
  • Creates and develops relationships with manufacturers and cultivators
  • Conduct regular inventory counts; assist with any necessary inventory investigations and in-depth audits
  • Ensure maintenance of all required record keeping logs

Compliance Management

The Assistant Store Manager is responsible for upholding operations pursuant to the Pokagon Band of Potawatomi Indians Cannabis Regulatory Commission Cannabis Regulations and the Pokagon Band of Potawatomi Indians Cannabis Regulatory Act’s guiding principles as well as overall Company compliance. The Assistant Store Manager will be responsible for communications regarding schedule of inspections, reviewing policies and procedures, and educating staff on compliance and regulations. The Assistant Store Manager will also be responsible for quality control and ensuring all products are tested, labeled, and packaged properly.

Marketing/Social Media/Website Maintenance

The Assistant Store Manager will provide execution of the company's brand strategy by managing specific hands-on operations at the retail level. They will be integral in the execution of Rolling Embers’ social media campaigns and website updates/maintenance.

In addition, the Assistant Store Manager will:

  • Focus on customer acquisition and retention, driving customers into the store and contributing to overall sales objectives
  • Work closely with external vendors to develop compelling POS, displays, and account specific promotional materials
  • Coordinate and execute all POS, signage and advertising for the store and vendor supply marketing campaigns
  • Leading marketing communication via newsletters, social media, and other digital platforms
  • Execute social media efforts, including posting approved content on Meta, Instagram and Twitter
  • Ensure website is current and up-to-date
  • Efficiently manage time and projects, balancing both marketing and sales floor responsibilities optimally

Other Duties/Responsibilities expected of Rolling Embers’ Managers

  • Performing general office work, such as filing records, operating printers/copy machines, and using email as correspondence
  • Implement HR policies and programs in support of Rolling Embers’ initiatives
  • Maintain accountability of all staff and their execution of the specific job duties
  • Observing and attending to any necessary health, welfare, and safety concerns within the store
  • Implement all anti-diversion policies and ensure understanding among all agents
  • Model a teamwork and employee-oriented environment that is conducive to enhancing employee productivity, education, advancement, and the Rolling Embers’ culture
  • Provide staff with a safe space to communicate and provide positive reinforcement

Qualifications

Education and Work Experience

  • Business-related Bachelor’s Degree from an accredited institution whose program of study has been recognized by the Council for Higher Education Accreditation or the United States Department of Education.
  • Minimum of 3 years’ experience in a fast-paced client-service intensive industry – hospitality, cannabis and/or retail background preferred
  • Minimum of four (4) years of experience in managing staff required, in a fast-paced intensive industry required.
  • Minimum of one (1) year in management role in a legal, state-licensed marijuana/cannabis operation (or similar industry) of 10+ employees, two (2) years preferred.

Knowledge/Skills/Abilities

  • Must have integrity and high level of interpersonal and communication skills
  • Solid problem solving, business acumen, influence, and negotiation skills
  • Superior organizational, project management, time management and multi-tasking skills
  • Must possess a positive, proactive attitude
  • Proficiency with MS Office Applications required, including Word, Excel, Outlook, PowerPoint
  • Knowledge of retail POS systems and/or inventory management system preferred
  • Excellent presentation, communication, and interpersonal skills; and the ability to speak effectively before groups and respond to questions required
  • Ability to work occasional evenings and occasional weekends required
  • Successful track record with being a team player as well as building, leading, and motivating teams
  • Flexibility and creativity when finding solutions is a must, namely in the context of a start-up environment
  • Valid driver’s license and reliable vehicle required
  • Experience working with Native American communities preferred
  • Knowledge in all areas of historical, traditional, cultural, language and spiritual practices of the Pokagon Band of Potawatomi preferred
  • Knowledge of cannabis marketing, and emerging retail channel dynamics is preferred

Physical Requirements

  • Extended time standing, walking, bending, and reaching
  • Ability to lift and carry up to 50 lbs. for the distance of 100 feet
  • This position requires occasional extended and repetitive use of arms, hands, and fingers to manipulate objects
