Job description
As a member of the Registrars Office team, the Associate Registrar will assist with all activities directly related to the management of a comprehensive university Registrars Office. The Associate Registrar for will be responsible for the effective and timely delivery of information, services, and advice related to enrollment, student records, and academic services to students, faculty, staff, and administrators. The Associate Registrar will improve academic services which drive student success with a focus on persistence, progression, graduation rates, and student satisfaction with their Oglethorpe experience. Please be aware that while we have tried to detail all areas of responsibility, it is inevitable that there will be a task not listed below that the Associate Registrar may be asked to assist or fulfill.
Annual Salary Range
$55,000 $60,000
Duties and Responsibilities
- Review and evaluate all current policies and practices with Registrars Office staff and appropriate campus stakeholders around: course registration, transfer course approval process, University withdrawal and hiatus process
- Inter-departmental communications especially concerning registration and commencement
- Maintain and process graduation applications through degree conferral
- Systems configuration and development of the Self-Service module in Colleague
- Enrollment and degree reporting to the National Student Clearinghouse
- Course registration preparation and assisting of students with system registration issues
- University withdrawals and hiatus processing
- Transfer course process (registration approval and equivalency review processes)
- Develop and/or update office documentation for areas of responsibility
- Covering open/public office hours for drop-in and phone traffic
- Represent the Registrars Office on various campus committees as needed
Minimum Qualifications
- Bachelors degree from a regionally accredited institution required
- Prior experience in a college or university Registrars office or equivalent student records setting which could include academic advising, student affairs, or other related higher education administration
- Commitment to social justice, diversity, equity, and inclusion
- Strong communication skills and ability to work with diverse constituents (students, faculty, staff, administrators, alumni, etc.)
- Familiarity with enterprise information systems and privacy and confidentiality rules as they relate to student records
- Knowledge of Microsoft Office suite
Preferred Qualifications
- Masters degree from a regionally accredited institution
- 3 years of experience in a college or university Registrars office or equivalent student records setting which could include academic advising, student affairs, or other related higher education administration
- Understanding of data-based decision making and project management
- Previous experience with Colleague (Student Information System) by Ellucian, Informer by Entrinsik (Business Analytics Software), Navigate by EAB (Student Success Management System), and Slate (Constituent Relationship Management software) by Technolutions
- Liberal arts background
