PROGRAM INFORMATION:
The Listo Family Literacy Program provides Spanish speaking families with educational support in their native language. This includes support for infants and toddlers, pre-school aged children, homework support and social/cultural enrichment for grades K-8, and adult ESL and INEA-literacy classes. The Listo Family Literacy Program is also funded separately from Head Start and Early Head Start and has a wage scale/bonus structure that is separate from the majority of agency programming.
PURPOSE:
The Bilingual Administrative Program Assistant (BAPA) will assist the LISTO Family Literacy Program and participating families as required. This position will have direct responsibility to provide support to the LISTO Family Literacy Leadership Team and program staff. The BAPA will work directly with LISTO Leadership Team to interpret and translate Spanish to English in support of families. This position is responsible for meeting Head Start performance standards and following the Agency policies and procedures.
ESSENTIAL JOB DUTIES:
I. LISTO PROGRAM DIRECT SUPPORT
A. Provide direct clerical support to LISTO and its associated projects as directed;
B. Assist with the organization, implementation and maintenance of specific program/project materials, calendars, records, files, reports, etc.;
C. Maintain parent/student list, class/activity attendance, or assist as needed. Enter data into database, extract data for analysis and reports;
D. Maintain fiscal data, records, and prepare purchase orders, as required;
E. Cross-train assigned co-workers to cover specific program tasks, as required. Direct the work of Teaching Assistants and volunteers in materials preparation;
F. Maintain Listo event and recruitment calendar and materials
G. Provide training and assistance to LISTO Families in matters associated with program participation;
H. Prepares LISTO’s monthly newsletter and ensures publication;
· Seeks input, pictures and class information; collects relevant material;
· Creates and designs the newsletter in an informative and visually engaging manner. Training provided.
I. Support LISTO program communications on social media platforms;
J. Assist LISTO Development Director with grant proposals, simple research, compiling reports, and fundraising activities.
II. GENERAL CLERICAL DUTIES
A. Maintain files and records (paper and digital); ensure records remain updated and easily accessible;
B. Utilize office equipment, such as photocopier, printers, computers, etc., for word processing, spreadsheet creation and email;
C. Take minutes of meetings when requested;
D. Monitor stocks of office and class supplies and prepares purchase orders to replenish. Maintain supplies and equipment inventory;
E. Gather statistical data, data entry, tracking of data and generation of reports;
F. Prepare training materials;
G. Attend trainings and/or meetings in person or remotely;
H. Meet with LISTO Leadership Team regularly.
III. COMMUNICATION, COLLABORATION AND TEAMWORK
A. Promote effective communication between Department staff, parents, other agency staff and the community;
B. Promote and actively facilitate good teamwork and team building among various service areas and between coworkers;
C. Aid in the administration and monitoring of social media accounts;
D. Lead co-workers/volunteers/parents on occasional, specific tasks as requested.
IV. INTERPRETATION AND TRANSLATION
A. Interpret and/or translate in both English and Spanish to support our diverse staff of Spanish and English speakers and Spanish speaking families;
· Supporting LISTO staff in all areas of communication and interactions with families including, but not limited to, center visits and other written and verbal communication in-person, via phone or online;
· Attend/support other center and/or agency events that parents attend;
· Represent LISTO in a positive manner to Agency and outside contacts.
V. INTERACTION WITH CHILDREN, PARENTS, CO-WORKERS AND COMMUNITY PARTNERS
A. Must relate in a positive, nurturing and supportive way, both verbally and physically, and be sensitive to the needs of children, parents and co-workers whose backgrounds may be different from one’s own;
B. Must provide a nurturing environment, using appropriate verbal and physical interaction;
C. Must be able to demonstrate/use quick, safe reactions and responses in dealing with children or situations that involve children;
D. Use phone, mail and digital communications technologies to communicate in English and Spanish with families and partners on behalf of the LISTO Program.

Certificación o Acreditación:
Se prefiere Certificación de Intérprete y Traductor.
Experiencia:
MÃnimo de un año como Asistente Administrativo o haber ocupado una posición de nivel-alto en un trabajo de oficina. Se prefiere un mÃnimo de un año como interprete y traductor.
Habilidades Esenciales:
MecanografÃar con un mÃnimo de 45 palabras por minuto y tener los conocimientos y habilidades para trabajar con programas de base de datos. Para los programas de Microsoft Office Suite, se requiere un nivel avanzado en Word e intermedio en Excel. Habilidad para aprender otros programas de computación en un periodo de tiempo razonable. Excelentes habilidades de comunicación interpersonal y asertividad para proporcionar informacion verbal y escrita en ambos idiomas inglés y español a niños, familias y al público que requiera asistencia. Conocimientos y aptitud matemática a nivel secundario. Habilidad para archivar y clasificar documentos en orden alfabético y numérico.
Habilidad mentales esenciales:
Habilidad para aplicar razonamiento crÃtico, ejercer buen juicio, priorizar, organizar y tener flexibilidad para responder a otras necesidates inmediatas. Habilidad para asistir a personas de una amplia diversidad cultural y económico. Habilidad de trabajar en equipo y trabajar con un mÃnimo de supervisión. Demonstrar integridad para mantener información confidencial.
Requisitos fÃsicos esenciales:
Habilidad de levantar y llevar 15 libras a distancia de 15 pies. Aptitud para estar sentado(a) por largos periodos de tiempo. Movilidad suficiente, fuerza y rango de movimiento para estar de pie, caminar, equilibrar, girar, agachar, doblar, alcanzar, o poder rodillarse. Suficiente destreza manual y coordinación mano-ojo para poder ejercitar la mecanografia repetitiva y otras actividades motoras. Tener suficiente visión y audición para hacer los deberes de trabajo. Habilidad de manejar un vehÃculo.
Exposición a peligros:
Riesgo producido durante el ejercicio de tareas de movimiento repetitivo. Riesgos producidos por estar sentado durante largos periodos de tiempo y al teclear repetitivamente asi como llevar a cabo de otras actividades motoras. Riesgos a accidentes de vehiculo. Riesgo a estar expuesto a comportamientos inpredecibles de niños y familias; y riesgo a estar expuesto a enfermedades contagiosas.
Condiciones de trabajo:
El lugar de trabajo principal esta localizado en las oficinas de Head Start, 1001 Beall Ln., Central Point, OR 97502. En centros para padres, las clases se llevarán a cabo en aulas preescolares, escuelas públicas, áreas de juego y oficinas. Tendrá que hacer viajes locales moderados cuando se requiera.
