Position Overview:

Our VOS Engineering team is growing! We're looking for a Billing Specialist with billing and title experience in the Construction Industry.

The billing specialist oversees the tasks of sending invoices to clients and monitoring outstanding balances to ensure each account is paid on time and in full. They help our organization keep track of how much money is owed and by whom, often managing numerous client accounts at once.

  • Assist project management team
  • Maintain project files.
  • Create Client Agreements
  • Setup and maintain job files and project management file drawer
  • Request necessary certificates of insurance.
  • Provide support through all phases of project.
  • Work in tandem with CFO to ensure accurate cost code usage.
  • Assist with the organization of weekly project reports.
  • Maintain Subcontractor insurance.
  • Issue Subcontractor contracts at Project Manager's direction.
  • Prepare and submit permit/municipal submittals.
  • Other closeout related assistance as needed Projects - Other
  • Negotiate/order/coordinate delivery of job site services and equipment (trailer rental, portable toilets, utilities, etc.)
  • Coordinate employee travel and out of town lodging arrangements
  • Research municipal licensing requirements
  • Manage all day-to-day accounting activities such as billing, AR, AP, credit & collections, and inventory. Establish/reinforce internal control systems.
  • Supports various functions including A/R and A/P and oversees daily cash management reporting and process
  • Performs other duties as assigned

Possess strong attention to detail and organizational skills

  • Be an excellent communicator - both verbally and in written correspondence
  • Have accountability and take pride and ownership of your work
  • Be able to read, speak, write and understand English
  • Excellent attention to detail.
  • Strong verbal and written communication skills.
  • Proficient in MS Office, including Outlook, and Excel.
  • Experience with MS Project or similar scheduling software preferred.
  • Experience with Procore preferred.
  • Candidates must be a positive team player who is willing to learn

  • Capacity to learn new systems and processes as the business evolves
  • Strong desire to build and maintain positive working relationships
  • Solid understanding of basic accounting / generally accepted accounting principles Professional with excellent communication and interpersonal skills
  • Detail-oriented and highly organized Skilled in time management and the ability to prioritize tasks Expert computer skills, specifically in Microsoft Office (Excel, Word, etc.)
  • Experience in construction industry preferred but not required
