The Blue Cluster provides support to the following programs: Department of Economics, Department of History, Military Science, East Asian Studies, The Hemispheric Institute on the Americas, Jewish Studies, History Project, California Social Science History Project, the Center for Poverty Research. Studies, Jewish Studies, and Military Science. The Economics, History, and East Asian Studies Advising Center supports 2200 declared undergraduate majors.

Job Summary

Under direct supervision of the Undergraduate Programs Supervisor, support the customer service and business operations of the College of Letters and Science Administrative Blue Cluster. Provide administrative program support to the Chairs, Directors, Chief Administrative Officer, Undergraduate Programs Supervisor, Undergraduate and Graduate Programs, Business Office and Academic Personnel Units. Duties includes: advising, reception, purchasing, department and program support. Assignments may change frequently depending on an assessment of overall cluster needs.

PHYSICAL DEMANDS

  • Maneuver and lift boxes and files/office supplies weighing up to 25 lbs.
  • Work at a computer terminal for extended periods of time.

WORK ENVIRONMENT

  • Position is a mandatory reporter for known or suspected child abuse and requires that a statement acknowledging the requirement to report child abuse be signed.
  • Work in an area with a lot of foot traffic and frequent interruptions.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience performing administrative functions, general office related tasks and procedures.
  • Experience with computer software including email, calendar, word processing, spreadsheets, and websites.
  • Experience working under pressure in a busy office with frequent interruptions while giving full attention to detail and accuracy.
  • Experience understanding and maintaining confidentiality.

Minimum Knowledge, Skills, and Abilities (KSA) :

  • Interpersonal and communication skills to communicate effectively with a diverse group of faculty, staff, students, and the public.
  • Customer service, strong organizational skills.
  • Knowledge of correct grammar and spelling.
  • Skill to understand and implement department and University policies and procedures.

PREFERRED QUALIFICATIONS

Preferred Knowledge, Skills, and Abilities (KSA) :

  • Knowledge of Aggie Buy system.
  • Knowledge of campus administrative reporting deadlines and procedures related to advising and instructional processes in the Social Sciences.
  • Skills to retrieve and assemble information for the preparation of reports, schedules, correspondence etc.
  • Knowledge of university policies, requirements, and procedures related to undergraduate students and policies regarding privacy of information to maintain confidentiality.
