Patron Services Coordinator (Box Office Associate)
American Contemporary Ballet
Location: Los Angeles, CA
Position Type: Hourly; on average 20-30 hours per week during our performance season; lighter hours during off season.
Job Summary: The Patron Services Coordinator serves an important external relations role for American Contemporary Ballet (ACB). For many patrons, the Coordinator will be the first person with whom they interact and will therefore represent ACB. This position reports to the Manager and is responsible for all ticketing needs; communicating with patrons via phone, email, and in person; coordinating the volunteer program; check-in and patron services at all performances and events; and office management tasks.
Job Duties:
- Ticketing/Box Office Duties:
- Manage ticketing for all performances and special events, including processing phone orders, refunds, group sales, and comp tickets; track waiting lists and add seating
- Coordinate and deliver communication regarding performance program logistics (e.g. parking) to patrons
- Oversee the patron check-in process for all performances and resolve any ticketing/seating issues that may arise
- Assist in selling merchandise during our post-show receptions
- Serve as primary point person with the ticketing platform vendor to ensure we are fully using all functionality of the system
- Answer the ACB mail phone line and check/update the company voicemail (with input from Director and Manager)
- Monitor and respond to items that come into several general email boxes for the company
- Coordinate the volunteer program, including recruitment and training
- Office management tasks such as tracking office supplies inventory, ordering supplies, running errands, assisting with data clean up
- Assist with mailing projects for both promoting performances and fundraising
- Assist Director and Manager with other tasks or duties, as assigned
Requirements:
- At least 1 year of customer service experience working directly with customers
- Strong interpersonal and social skills
- Warm personality and the ability to quickly connect with patrons
- Ease and comfort communicating by phone
- Good written communication skills with minimal typos or grammatical mistakes
- Capable of quickly identifying and solving problems
- Adept at organizing and keeping track of lots of information and can readily find or recall information
- Ability to manage administrative and organization details
- Computer skills: Basic to intermediate understanding of email, word processing, and spreadsheet applications. Experience using a database or ticketing platform a plus
- An interest in the performing arts or a background as a performer preferred
- A college degree is a plus, but not required
