Title: Breezy Pines RV Estates Manager (BPRVE Manager)

Job Summary: Breezy Pines RV Estates manager works closely with Breezy Pines Condominium Estates Association Board president to oversee and manage the daily operations of the office and property. Manager duties include operating office equipment, maintaining the Association filing system, collecting condo dues checks, preparing and making weekly bank deposits, and assisting president and Board with general resident compliance with BPRVE Rules & Regulations and Policies. Required qualifications include an Associate’s degree or higher, friendliness combined with professionalism, as well as general computer and writing skills. Position is part-time, 3 days (15 hours maximum) per week on a regular schedule. Compensation is a maximum of $15,000, annually or approximately $20 hourly.

Job Description

Supervision and Interaction: Manager is supervised by and works closely with Breezy Pines Condominium Estates (BPRVE) Association Board president, typically meeting each workday, especially during training period. Manager interacts with other Board and Association members, bookkeeper, maintenance personnel, and other scheduled service people and suppliers.

Responsibilities: Manager’s responsibilities include, but are not limited to, the following:

General and Office: Maintain and update required association licenses and certificates. Answering Association office phone calls, reply or forward relevant messages. Operate office equipment (computer, printer, scanner, telephone, etc.). Maintain Association filing system (hard copy and electronic). Print, post as applicable, and assist with and mailing BPRVE communications to members, including information for BPRVE Annual Meeting, as prepared by secretary, treasurer, or other board members and approved by president. Attend Association Board meetings and Annual General Membership meeting. Work with president to issue notifications to owners/residents and resolve noncompliance and complaints according to BPRVE policies. Receive and process lot-rental applications from membership according to BPRVE policies. Work with president to approve rental and lot-sale applications. Work with bookkeeper to facilitate lot sales, and maintain current files for all rental applications

Financial: Review all invoices with president before sending to bookkeeper for payment. Inform bookkeeper and president of any past-due invoices. Review manager and maintenance personnel timesheets with president before sending to bookkeeper. Collect incoming Association mail from mailbox and lockbox. Collect dues checks and cash from members, record amounts in appropriate Excel spreadsheet, and prepare monthly Association dues deposits. Make weekly bank deposits, handle laundry-machine coin collecting, deposit and record amounts.

Facilities and Property: Perform surveillance of property, by foot or car, to check for litter, excess vegetation, parking issues, unregistered guests or vehicles, expired vehicle tags, and general resident compliance with BPRVE Rules & Regulations and Policies. Keep a record of noncompliance issues and inform president. Perform checks of clubhouse, kitchen, laundry, and bathroom facilities for security, function, neatness, and cleanliness. Monitor pool equipment for function; test pool water and record results for health department. (Facilities and pool cleaning is performed weekly by maintenance personnel). Monitor dumpster area to ensure refuse does not overflow. Monitor for illegal dumping and resident dumping of appliances and furniture. Schedule extra refuse pick-up as necessary. Monitor security camera system for violations of BPRVE Rules & Regulations. Order BPRVE supplies and equipment (pool chemicals, bath house supplies, cleaning supplies, paper goods, office supplies, and other items, as necessary).

Qualifications: Required qualifications include: Associate’s degree or higher. Excellent “people skills” and friendliness coupled with professionalism; a high level of ability to interact with individuals and diverse groups of on-property residents/owners/long- and short-term tenants, as well as service and supply personnel and others. Business-writing skills; ability to professionally represent the Association in written communications to members in emails and in other, typical business-writing tasks. General computer skills as well as competency with Windows, Word, and Excel; knowledge of, or willingness to learn, additional computer skills such as light website upkeep and basic desk-top publishing. Basic understanding of QuickBooks. Willingness to become familiar with BPRVE Rules & Regulations, condominium governing documents, Florida statutes governing condominiums (FL statute 718), and any other applicable regulations. Optional- Position includes the option to acquire a Community Association Manager license (CAM) and pool operating certificate. (BPRVE will pay for online training and testing fees.)

Hours & Compensation: Position is part-time, 3 days (15 hours maximum) per week on a regular schedule of Mon/Wed/Fri from 10 AM to 3PM or from 9 AM to 3PM (includes 1-hour unpaid lunch break). Other, similar schedule may be possible. No insurance, paid holidays or other benefits; work not required on holidays. May take two weeks of unpaid vacation per year. Additional time off, as approved by Board. Compensation is a maximum of $15,000, annually or approximately $20 hourly. Pay will be hourly, paid bi-weekly. The Breezy Pines workplace is a smoke free and pet free work environment. Background check required.
