Texas Meter & Device (TMD) is looking for a dynamic individual to join our growing team as a Business Manager in Waco, TX. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. He/She will have previous experience working in an office environment, performing administrative duties and providing support to management.
The Business Manager performs a wide variety of tasks to support overall office functions and to support all executive level administrative duties.
Responsibilities include (but are not limited to):

  • Maintaining office services by organizing office operations and procedures preparing correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives behalf
  • Maintaining comprehensive and accurate records and files
  • Performing minor accounting duties such as assisting with project billing
  • Organizing meetings, including scheduling, and sending reminders
  • Assisting with preparation of documents for proposals and projects, from creation to recordkeeping of finalized documents
  • Answering phone calls in a polite and professional manner
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Managing the executives calendar when needed, including making appointments and prioritizing the most sensitive matters
  • Providing historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
  • Maintaining office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Keeping management informed by reviewing and analyzing special reports; summarizing information; identifying trends
  • Contributing to team effort by accomplishing related results as needed
  • Assisting executive officers with all administrative tasks
  • Initiating and processing Purchase Orders
  • Processing incoming mail for executives
  • Answering multi-line phone system and accurately routing calls.
  • Preparing and processing Customer Invoices for payment
  • Processing daily cash deposits and credit card payments
  • Processing facilities and equipment maintenance requests
  • Preparing documents and files
  • Ordering of office supplies
  • Assisting customers via phone and in-person with a variety of tasks
  • Performing general administrative support
  • Other duties and tasks as assigned or necessary.
  • Minimum of 5 years of experience in an administrative or business manager capacity
  • Bachelors degree required
  • Advanced capabilities using Microsoft Office products
  • Experience using Sage 100 preferred
  • Attention to detail
  • Ability to multitask
  • Excellent verbal and written communication skills
  • Ability to work independently with minimal supervision
  • Knowledge of standard office practices and procedures
  • Additional Requirements: Background check clearance including drug screening and I-9 documentation as required by law
