Job description
This position serves as the primary receptionist for the City Clerk’s Office by providing front office customer service to citizens and employees. This position is also the lead contract administrator in the City Clerk’s Office which involves recording and monitoring approximately 750 contracts annually. This position also serves in a secondary / support role to assist with the processing of Public Record Requests (PRRs) and the administration and record keeping duties of City Boards and Commissions.
Serves as the primary receptionist for the City Clerk’s Office providing excellent front office customer service to citizens and city employees.- Serves as the lead contract administrator in the City Clerk’s Office which involves recording and monitoring approximately 750 contracts annually which includes routing for signatures, signature verification, scanning into records software, data entry, sending out monthly contract review reports, working with other departments to ensure contract completion, assisting in the record retention of contracts, and sending yearly reports to the State of Colorado regarding contract statuses.
- Assists with the processing of Public Record Requests (PRRs), which involves routing, tracking, and following deadlines mandated by state law; this process includes correct routing of both routine and complex requests, working with other departments to ensure fulfillment of PRR’s by the deadline, compiling monthly and annual review reports, and assisting in the record retention of PRR’s. Specifically, this position is responsible the processing over 50 PRRs monthly and approximately 650-700 PRRs annually.
- Assists with the administration and record keeping duties of City Boards and Commissions, including the City Council Screening Committee and the 30-member Lakewood Advisory Commission, which could require the occasional attendance of evening meetings.
- Assists with updating and monitoring the City websites under the purview of the City Clerk’s Office.
- Serves as the primary staff person for processing vouchers and deposits.
- Provides other administrative support for all office functions including elections, licensing, permits, etc.
- Performs other duties as assigned.

- Receives supervision from the City Clerk and Deputy City Clerk.

Education and Experience
- High school diploma or equivalent.
Experience:
- One year of progressively responsible work experience involving a high degree of public contact and problem solving. More than one year of experience is preferred.
- Must have strong customer contact/service background.
- Transcription experience, preferred.
- Experience in meeting planning and support is preferred.
- Municipal government experience is preferred.
- Experience creating and updating web pages is preferred.
Certification/Licenses/Specialized Training
- Must obtain Notary designation and adhere to requirements within three months of hire.
- Exceptional interpersonal skills and effective oral and written communications skills.
- Ability to demonstrate strong knowledge of City services, City Council and the organization’s goals.
- Ability to communicate effectively with the public, even in an emotionally charged atmosphere.
- Ability to be self-directed and to meet deadlines while demonstrating good judgement and make decisions independently.
- Ability to demonstrate teamwork.
- Ability to work effectively while balancing conflicting priorities, strong time management skills.
- Ability to attend meetings after regular business hours on an as needed basis.
- Must be a highly organized individual.

Technological Skills
Ability to use Microsoft Office Suite to include Word, Excel, Outlook, and Power Point.
Ability to type 45 wpm.
Physical Demands
Ability to lift and carry files and notebooks that may weigh up to 25 pounds. Work is performed in an office setting. Frequent contact with citizens, staff and others.

Our pension fund is a social security replacement, money purchase plan. Mandatory employee contribution is 11% of gross base salary; city contribution is 13% of gross base salary.
SICK LEAVE
Full-time employees earn 8 hours per month. Part-time employees earn 6 hours per month.
VACATION
Full-time employees with less than five years of service earn 8 hours per month. Part-time employees with less than five years of service earn 6 hours per month.
