Guardianship Program of Dade County, Inc. is a leading and unique social services agency that works with a diverse and vulnerable adult population (including young adults 18 years and older) throughout all of Miami-Dade County. We currently have an open position for a Case Management Assistant.
SUMMARY DESCRIPTION: The Case Management Assistant is responsible for providing technical and administrative support to the Case Management, Intake and Property departments. He/she performs the necessary administrative activities which provides the appropriate information and workflow from these departments to other departments within the agency, as well as outside agencies.
Good judgment and communication skills are essential. Will be working closely with internal clients (i.e., Case Managers, Intake Coordinators, Legal staff, supervisors, management and administrative staff, etc.).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Reviews, corrects, stamps, faxes and prepares for mailing, various admission contracts, consent forms and ward applications, forwarding for signature. Maintains log of all incoming and outgoing contracts for accurate follow up and timely processing.
Assists all new Case Management employees and interns with all orientation procedures including, scheduling orientation, ordering business cards, and creating employee ID’s.
Creates and maintains all agendas and minutes for meetings.
Creates and updates departmental schedules, calendars, mileage documentation and client ID’s.
Manages and reconciles client shopping accounts through Amazon and Amex usage for departments.
Assists with obtaining and processing physician letters and coordinates the receipt of Physician Reports for annual merge.
Monitors Assisted Living Facility and Nursing Home visits by randomly contacting facility administrators. Outcome of calls are documented in internal system.
Processes all burial components such as Pre-Needs by scanning and emailing to applicable departments, prepares mailing of funeral contracts, maintaining log and scans documents accordingly and inputs cemetery property deed/assignments when received.
Manages and monitors all client death certificates and cemetery property deeds, sending notifications when documentation is needed and login certificates when received. In addition, closes out file for client in internal system when request is submitted.
Runs various reports monthly and submits these for review to appropriate staff.
Assists with providing and ordering supplies, as needed, assists Case Managers with six-month reports, coordinating training courses, and any extracurricular activities for holidays and or fundraiser (Christmas cookies, Golf, etc.).
Prepares various spreadsheets, worksheets, schedules, correspondence and reports in both Microsoft Excel and Word as requested and performs a variety of other administrative activities (i.e. filing, updating, maintaining data and preparing reports, etc.) in support of the case management department.
QUALIFICATIONS: The person must be very proficient in Microsoft Office applications such as Word, Excel, Outlook and internet research and other internal and external software applications.
Experience working in a social service environment is helpful but not required. Background checks to include a credit check and drug screening will be required to be completed.
EDUCATION and/or EXPERIENCE: An Associate’s degree from an accredited college/university is required, however, a Bachelor’s degree (BA or BS) is highly preferred; A minimum of three (3) to four (4) years of related administrative or clerical experience in an office environment is required.
