A. JOB PURPOSE:
B. JOB RESPONSIBILITIES (Essential Job Functions):
- Scheduling patient visits using scheduling policies, availability of providers and the urgency of the appointment as directed by the patient’s needs.
- Provides exceptional customer service, organizational skills and demonstrates the ability to work in a fast-paced team environment.
- Maintains patient confidentiality, at all times.
- Answers phone quickly with no more than 3 rings.
- Answers and directs telephone lines in a courteous/timely and professional manner.
- Provides patients with HHC resources, general information, location, directions and answers to clerical questions.
- Refers medical questions to the appropriate location through the EHR Task/Telephone process.
- Collects all patient demographics including verification of insurance.
- Obtains pertinent patient medical information in accordance with procedural guidelines.
- Assists with coverage, cross trained to cover for Patient Specialist.
- Schedules Maine Breast and Cervical Health Program (MBCHP) and any new programs added within the organization.
- Schedules of all new patients at the time of call.
- Document voyager messages in electronic health record and responds timely.
- Maintains knowledge of resources so that patients can be quickly connected.
- Organizes and prioritizes work load.
- Fills schedules throughout day when patients cancel/reschedule to assist with provider benchmarks.
- Assists with no show and cancellation process.
- Reviews daily and weekly schedules for accuracy of scheduling – day before and day of.
- Works on reports such as, preventative, gaps in care, well child, and no-show to get patients scheduled.
- Participates in all safety program training, drills and education sessions AND may include assignment to an emergency response team.
C. MINIMUM QUALIFICATIONS:
Education: High School graduate.
Experience:
- Must possess professional & courteous internal/external customer service skills.
- Strong organizational skills and the ability to work in a fast paced team environment.
- Work effectively with a team.
- Ability to communicate articulately and comprehend written and verbal communications.
- Ability to function efficiently in a stressful working environment.
- Ability to work collaboratively with people of diverse cultures and lifestyles.
- Ability to communicate effectively with internal and external customers.
- Ability to problem solve independently and in a team environment.
- Basic understanding of medical test and requirements for test as to provide the patients with appropriate information.
- Minimum of 2 years of medical office experience along with basic Medical Terminology and billing (insurances) suggested
- Adheres to Hometown Health Center’s employee immunization policy.
Licensure: None required
