Job Summary

Job Title Administrative Assistant $17.50 hr.

Provides administrative support to the Minister and Board of Trustees of Unity on Greenville. Uses business software applications (e.g., word processing, spreadsheets, and presentations) and web- based applications/systems to prepare correspondence, reports, presentations, agendas, meeting minutes, etc. Receives incoming calls, mail, visitors, and email. Distributes communication to the appropriate person. Maintains all office files, records, calendars, and reports including deposit, expense and credit card documents. Coordinates resources for Sunday services (guest speakers, musicians, etc.) and supports. Supports volunteers. Schedules and manages building maintenance and repairs. Inventories and orders supplies for church operations and maintenance.

Essential Duties

  • Answers all incoming phone calls and email, directing to the appropriate person daily
  • Collects, distributes, and responds to all mail accordingly
  • Prepares and pays all church bills, scans weekly count sheets, and submits required reports and documentation to outside accounting firm following established guidelines and processes
  • Prepares payroll and contractor payments in Gusto following established guidelines and processes
  • Prepares and submits reports and information to UWM as required
  • Schedules and coordinates building and grounds maintenance vendors and suppliers, utilizing established list of approved vendors
  • Supports general administrative needs of the Spiritual Care Team, Bookstore Mgr., and all staff as needed
  • Manages all ceremonies, classes, and building rentals, with regards to scheduling, securing payment, posting on staff calendar, scheduling staff resources to support ceremony, securing any required parking permissions, etc.
  • Coordinates E-news message with minister, social media manager, on a weekly basis
  • Coordinates and submits all background checks required for staff or volunteers
  • Prepares and distributes all donor letters annually as required
  • Enters credits and debits in QuickBooks

Minimum Requirements

  • High School Diploma or equivalent
  • Fluent in English language
  • 5+ yrs. Office Administrative Support experience or equivalent
  • Must have demonstrated proficiency with Microsoft Suite such as Outlook, Word,
  • Must have basic knowledge of QuickBooks

PowerPoint, and Excel

  • Must have demonstrated proficiency with online tools and technology knowledge -

Google spreadsheet and documents, church-specific applications including Gusto and
QuickBooks, email systems, internet research, web conferencing, etc.

  • Clear communicator with excellent listening skills, writing and editing skills, and healthy relationship skills
  • Always seeking better, more efficient ways of doing things
  • Able to see the big picture as well as attention to detail
  • Well organized, adept at managing projects and people

Working Conditions

  • Ability to work independently with little supervision.
  • Ability to work 20-hrs per week with 4-hrs per day (M-F) o Working hours can be flexible between 9am – 3pm, but must be set for congregants to know when the building is open each day.
