Job Summary

The Dean of Students Office (DOS) works with faculty and other Harvard Law School (HLS) administrative offices to orient 1,800 students to law school life and to provide resources and counseling on a variety of matters that may arise in both students’ academic and personal lives.

The Class Recordings Assistant will support HLS administrative staff by coordinating class recording requests for students who have personal or medical emergencies, managing the dissemination of class recordings, and managing data entry and record keeping related to such requests.

Position Description

As a Class Recordings Assistant, you will:

  • Approve or deny class recording requests based on HLS policies as outlined in the Handbook of Academic Policies

  • Communicate with students and/or faculty regarding the recording request and delivery process, recording approvals and denials, and respond to questions or concerns about policy or procedure in an empathetic but firm manner

  • Gather and maintain data related to recording requests and delivery

  • Facilitate timely dissemination of class recordings to eligible students, collaborating with the HLS Learning Experience and Technology (LXT) team and/or HLS Information Technology Services (ITS), as appropriate

  • Coordinate with other HLS administrative offices to ensure correct routing of requests and to provide other supports, such as class notes, in lieu of recordings when appropriate

  • Assist in identifying when extra support is needed and coordinate with extra support team members on work to be done

  • Quickly elevate questions or issues to appropriate DOS staff

  • Assist in preparing daily status reports for Student Services leadership

  • Identify areas for process improvement with an eye toward efficiency, adherence to applicable rules and policies, and the use of technology and automation

Basic Qualifications

3 or more years of experience in office administration or related field (business environment and/or customer service). Education beyond high school may count toward experience.

  • Excellent organizational, prioritization, and communication skills

  • Strong attention to detail and accuracy

  • A commitment to high-level customer service

  • Experience managing sensitive medical information and demonstrated ability to handle confidential information with discretion

  • Ability to work independently with minimal supervision, as well as collaboratively as part of a team, in a fast-paced, high-volume environment

  • Technologically proficient in MS Office, specifically Excel, and with collaboration tools such as MS Teams and SharePoint


Working Conditions

This is a remote position. All remote work must be performed within a state in which Harvard is registered to do business (CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT and WA).

Additional Information

This is a term appointment through April 28, 2023 with potential for renewal, subject to departmental need.
