Who We Are:
We are a growing independent outpatient counseling center that caters to children, families, couples and adults in Federal Way. We strive to provide an exceptional experience for our clients from the first phone call reaching out for help through to coming into our office to work with our stellar team of providers. Our administrative team prides themselves on walking alongside our clients each step of the way as they start the process of getting help and support for the areas of their life they are struggling with most.
Position objective:
The client care coordinator will often be the first point of contact for the majority of our phone calls and emails received requesting services. This position will be heavy on answering phones, following up by phone, and secondarily by email, through our software programs (EMR), scheduling, assisting clients and providers in the office.
Our clientele, by the time they pick up the phone to ask for help, are struggling in their lives and relationships. They need and deserve to have a customer service experience that is quick, efficient, and more than anything else, compassionate and caring. From the first phone call to the first appointment, the details and follow through of tracking and organizing the patient experience must be impeccable. We strive to have each and every patient have a VIP experience: to feel taken care of even from the first hello.
This position will report to the practice manager.
The ideal candidate will:
- Be able to provide exceptional client support via phone and email with the ability to put clients at ease first and foremost.
- Will be able to tease out information for appropriate routing of calls and emails received.
- Have the ability to organize and manage tasks, with exceptional attention to detail.
- Be people-oriented, a strong team player, and outgoing.
- Enjoy supporting others in a high accountability atmosphere (other team members, clients and providers)
- Is not afraid to roll up their sleeves and jump in to take care of whatever is needed in the moment.
- Understand and apply confidentiality and HIPAA rules (or be interested in learning)

Responsibilities include:
- Warmly interacting with clients on matters pertaining to scheduling/rescheduling.
- Assist providers as needed
- Data entry and setting up new patient charts through various systems (Electronic Medical Records, Excel, other)
- Copy, organize, and e-file documents
Position Requirements:
- 1+ years reception, customer service, and/or administrative experiences.
- Experience with customer service (tell us why you love to work with and support people!).
- Experience working remotely (preferred)
- Proficiency with computer software including Excel/Google Sheets (very basic)
- Strong verbal and written communication skills. Must demonstrate proficiency in telephone skills.
- Ability to respond to, and take direction from, various staff effectively and efficiently.
- Ability to direct others in a manner that is warm and respectful.
- Ability to multitask.

Monday - Friday,
9:00am until 5:30pm PST (12pm until 8:30pm EST)
Location: REMOTE - USA only
Pay: $20 - $22 per hour
