JOB TITLE: Community Enrichment Administrative Coordinator

DEPARTMENT: Community Enrichment

REPORTS TO: Director of Community Enrichment

LOCATION: This position requires some on-site work at Harriett’s Orlando Ballet Centre, but also requires travel to various satellite locations in Central Florida

POSITION DATE: As soon as possible

POSITION STATUS: Full-time, salaried, exempt

COMPENSATION: $35,500-$37,500, commensurate with experience

BENEFITS: All standard in coordination with employee handbook

Basic Purpose and Objective of the Role:

Under the direction of the Director of Community Enrichment, the Community Enrichment Coordinator will be responsible for the administrative logistics and coordination of day-to-day operations and initiatives for all Community Enrichment (CE) programs – STEPS, First STEPS, Come Dance With Us, REACH, RISE, Neon Club, Intro to Ballet, BeMoved, and Gentle BeMoved and any new developed programs. They will also organize data from the Teaching Artists, communities and schools needed for funding purposes. Orlando Ballet is seeking a driven, self-motivated, highly organized individual with the ability to manage a wide range of responsibilities. He or she will act as the primary point of contact and provide administrative, clerical, and coordination support for the CD department. This position requires coordination with all Orlando Ballet internal departments and relevant external organizations.

Responsibilities include:

  • Respond to emails/telephone calls, send correspondence, schedule meetings, maintain paper and electronic files, maintain community enrichment collateral, and manage departmental program calendar/schedules/activities.
  • Communicate with Teaching Artists on documents, information, and payroll;
  • Oversee collection and reporting of payroll information for the CE department;
  • Maintain accurate budget information, departmental reports and statistical information related to community enrichment initiatives;
  • Work with Community Enrichment Intern to coordinate all CE Programs;
  • Attend all pertinent meetings as they relate to CE and represent OB at various functions;
  • Evaluates class/program effectiveness and participant satisfaction. Provides program and participant data to the Philanthropy team and Community Enrichment Committee;
  • Collect and organize enrichment data for future funding reports;
  • Prepare reports on behalf of the CE team for various meetings including the CE Committee and Board of Directors;
  • Develop visual aids, instructional, and graduation materials to meet specific program needs;
  • Keep abreast of changing developments, trends, and educational technologies pertinent to the field;
  • Travel to enrichment sites to create relations and assist CE Teaching Artists as needed;
  • Collaborate with HOBC teams to ensure effective planning and fulfill CE event logistics. Serve as point of contact for all event needs for various program functions such as Gentle BeMoved residencies, STEPS performances, CDWU events, CETA meetings, RISE Showcases and Workshops, REACH Showcases and Workshops, FIRST STEPS initiatives and school visits;
  • Assists the CE Director with special projects or activities as delegated.

Required Qualifications:

  • Must have at least two years of administrative experience.
  • Dynamic individual who is goal oriented, adaptable to change, requires minimal supervision and has excellent communication and problem-solving skills.
  • Must be highly proficient with Microsoft Office (Word, Excel, PowerPoint, Teams). Must be able to effectively operate office equipment (ex. printers, copiers).
  • Ability to remain calm under pressure, multi-task, and handle more than one project at a time.
  • Ability to communicate clearly, concisely, and accurately, orally and in writing with various individuals and groups. Ability to effectively communicate in English in both written and oral forms.
  • Appreciation of the important role OB plays in the life of a vibrant community and can articulate this mission and role to others.

Preferred Qualifications:

  • Supervisory experience.
  • Experience working in performing arts administration or education.
  • Bachelor’s Degree in dance performance, education, or related field is preferred.

Special Conditions of Employment:

  • This position requires the ability to work a variable schedule, evenings, weekends, and holidays to meet operational needs.
  • Will be subject to a background check.
  • Must be able to provide own transportation to off-site programs and events. Must have a valid Florida Driver’s License.
