Job Description Summary

This role has 3 main parts:

1. Basic accounting (invoices, pay application process, change orders, cost accounting).

2. Fringe paralegal (managing contracts with paralegals)

3. Ad hoc projects (compiling reports, handling municipality communications, following up with contractors, project management etc.)

As a Specialist, you'll be a member of the construction project development team, responsible for managing processes and establishing standard procedures for various aspects of construction projects related to the financial, legal and engineering documents. We'll count on you to help with establish practices, policies, procedures and methods for the processing and workflow of construction projects.

Job Description

Key Responsibilities:

  • Manages and coordinates the development team support related to the financial, legal and engineering documents. Establishes optimal practices, policies, and procedures for processing contracts, invoices and other required project documentation. Coordinates with various staff or outside sources to resolve difficulties, discrepancies, or other matters as directed and needed.
  • Acts as the primary liaison for the development team with the accounting group for project cost reporting and budget tracking. Responsible for maintaining the development and accounting records needed for the coordination, preparation and submission of the various required reports both internally and externally.
  • Leads all aspects of the preparation of contracts and task/change orders for contractors and consultants. Responsible for compiling and organizing contract documentation including approval signatures, insurance certificates, etc. Reviews all construction contracts and pay applications/invoices for accuracy, accurate documentation and completeness.
  • Develops effective working relationships with third party consultants, architects, contractors, material suppliers and other construction team members regarding project related documentation including proposals, task orders, material submittals, requests for information, and bid information.
  • Develops an in-depth understanding of the design and construction projects and provides project management support as required. Support includes, but is not limited to, project communication and coordination with contractors and suppliers, change order preparation and processing, assistance with the preparation and maintenance of the project schedule, and assisting with project punch lists.
  • Participates in development of changes to area(s) of responsibility that would enhance, improve, or facilitate job performance, processing or workflow.

May perform other responsibilities as assigned.

Reporting Relationships: Reports to Associate Vice President. May have opportunity to manage a team of less than three associates.

Typical Skills and Experience:

Education: Undergraduate degree preferred.

Experience: A minimum of three years of relevant experience in a business environment with a preference for construction related experience.

Knowledge, Abilities and Skills: Must have strong understanding of project management concepts. Understanding of construction concepts and terminology. Excellent organizational skills and high level of attention to detail. Ability to multitask and prioritize optimally. Ability to use logic and methods to solve problems with effective solutions. Strong communication skills (both written and verbal) with the ability to express self clearly and organize ideas well. Understanding of the importance of partnership and building rapport with others. Ability to function independently or in a team environment with supervision and guidance.

Job Type: Full-time

Pay: $70,000.00 - $80,000.00 per year
