The Contract Administrator provides direct administrative support and assistance in the critical setup, organization and review of construction and order project. This includes project initialization, review and administration of construction contracts and related documents, coordination with internal and external entities, and track startup requirements as necessary for the overall and successful management of a project. Works with Project Management, Procurement, Sales Production and Accounting Teams to ensure that all internal contract documentation and compliance items are complete. Issues and maintains subcontracts and required subcontract compliance submissions, including but not limited to pay applications, certified payrolls and insurance certifications. Assists with tracking certified payrolls for both internal and subcontracts as well as project performance for Eligible Business Enterprise (EBE – DMWBE, SDVOB, etc.) and Equal Employment Opportunity (EEO) goals.

(API) manufactures architectural metal products such as storefronts, doors, canopies, sunshades, ACM panel systems, brake metal and handrail from our facilities in Oldsmar, Fl. Our customers include some of the largest national chains in the country such as Chipotle, Outback, PDQ, Gap, Ann Taylor, Lids, Forever 21, etc. as well as architects, general contractors and subcontractors located nationally throughout the US.

Contract Administrator Responsibilities:

  • Receive Contract Documents and process for review. Review Contracts changes completed by others adapt contracts as needed. Submit General Conditions Submittals, Insurance, and / or Bonds requirements. Prepare Contracts for Signatures and submit.
  • Prepare necessary Pre-Award Submittal.
  • Creates and manages Master Project Files (Hard Copy / Electronic). Performs filing and archiving duties as
required.
  • Maintain reference database of Current / Completed projects.
  • Prepare Customer Pre-qualification Forms.
  • Assist with preparation of Project/Contract Close Out Documents including final EEO reporting, Prevailing Wage,
etc.
  • Prepare Subcontracts for Owner review before submission to Subcontractors. Submit Subcontracts with necessary Start Up Compliance Documents. Receive Signed Subcontracts and reviews for Execution.
  • Verify qualification status of subcontractors to ensure contract compliance. Communicate with project engineers to work towards bringing subcontractors into compliance as necessary.
  • Organize and maintain Master Contact List in Software Program
  • Performs other administrative and coordinator duties as required.

Contract Administrator knowledge and requirements:

Must be highly organized and capable of multi-tasking in a fast-paced work environment. Excellent oral and written communication skills and strong general office clerical skills are required. Effective time management skills and ability to work independently with exceptional efficiency – Meeting Deadlines is a must. Must be proficient, adaptable, and knowledgeable with computer software and technology.
