POSITION: Deputy Court Reporter

DEPARTMENT: Superior Court

WORK SCHEDULE: 8:00 a.m. – 4:00 p.m., M-F

Incumbent serves as Deputy Court Reporter for LaGrange Superior Court, responsible for assisting Judge, scheduling Court proceedings, and recording, reporting and preparing records of proceedings.

DUTIES:

  • Ensures the accurate recording of Court proceedings and actions and composes entries for Chronological Case Summaries (CCS) and/or written orders.
  • Transcribes and types memorandums, court orders, reports, correspondence, dictation and related documents from the Court.
  • Reviews all files on the Court’s calendar, ensuring accurate and orderly tracking of each case.
  • Schedules/reschedules Court hearings and notifies participants. Prints daily Court calendar, enters case data in computer, and retrieves and prepares files scheduled for Court.
  • Receives and screens public inquiries by telephone and in person, determining nature of the call, providing information and assistance, and/or directing caller to appropriate individual, department or agency.
  • Reviews daily Jail list to confirm defendants set for hearings.
  • Submits protective orders
  • Submits necessary order and directives to the Indiana Bureau of Motor Vehicles (BMV) as instructed.
  • Performs related duties as assigned.

JOB REQUIREMENTS AND DIFFICULTY OF WORK:

  • High school diploma or equivalent.
  • Ability to meet all Department hiring requirements, including passage of a drug test.
  • Thorough knowledge of standard practices and procedures of the Court, legal terminology, and standard legal documents and petitions, with ability to properly record proceedings and prepare chronological case summaries and written orders as required.
  • Working knowledge of standard office procedures and various computer software applications used by the Courts, with ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
  • Working knowledge of standard English grammar, spelling and punctuation, and ability to accurately transcribe voice recordings and prepare correspondence, legal documents and detailed written reports.
  • Knowledge of standard filing systems and ability to create and maintain Department files.
  • Ability to take Court notes, type with speed and accuracy, and properly operate standard office equipment, including computer, transcriber/Dictaphone, fax machine, copier, telephone, digital recording equipment, and postage meter.
  • Ability to effectively communicate orally and in writing with co-workers, other County departments, Judge, Court personnel, attorneys, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
  • Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.
  • Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
  • Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.
  • Ability to understand, memorize, retain, and carry out oral or written instructions and present findings in oral or written form.
  • Ability to coordinate and analyze data, make determinations, and take action based on data analysis.
  • Ability to work alone with minimum supervision and with others in a team environment, often under pressure from formal schedules and deadlines, and on several tasks at the same time.
  • Ability to occasionally work extended hours and/or evenings and occasionally travel out of town for meetings, but not overnight.

RESPONSIBILITY:

Incumbent performs duties according to a formal schedule and standard practices and policies of the Court. Assignments are guided by definite objective using a variety of methods or procedures, with incumbent referring to supervisor for unusual matters, such as policy interpretations. Decisions are always determined by specific instructions or existing, well established policies and procedures. Work errors are primarily detected or prevented through legally defined procedures or notification from other department, agencies, or the public. Undetected errors could result in loss of time to correct error and/or work delays in other departments or agencies.

PERSONAL WORK RELATIONSHIPS:

  • Incumbent maintains frequent contact with co-workers, other County departments, Judge, Court personnel, attorneys, and members of the public for the purpose of exchanging information.
  • Incumbent reports directly to the Judge.

PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment and in a courtroom, involving sitting/walking at will, sitting for long periods, lifting/carrying objects weighing under 25 pounds, keyboarding, close vision, speaking clearly, hearing sounds/communication, and handling/grasping/fingering objects. Incumbent maintains considerable contact with the public and may be exposed to irate/hostile persons. Incumbent occasionally works extended and/or evening hours and may travel out of town for meetings, but not overnight.
