Primary Job Function:

Perform Front Desk Receptionist responsibilities, back-up dispatching responsibilities, answer calls and perform paperwork processing.

Daily Duties:

· Answer incoming calls, schedule appointments as needed or direct calls to the department needed.

· Perform outbound calls to schedule appointments for maintenance customers.

· Receive final payments on all installs.

· Assist Install Department with scheduling appointments and following up with customers post-install as needed.

· Assist Service Department by scheduling service appointments when needed.

· Assist with face-to-face customers that come into the building. Sell items over-the-counter when needed.

· File folders as they become completed.

· Schedule recurring maintenances and services for all completed installs.

· Perform happy call surveys and closeout procedures for all installs.

· Create invoices from certain job types as needed.

· Manage and create contract change-orders as needed.

· Update customer files and accounts as needed.

· Register Warranties after installation & mail out registration certificate.

· Fill out labor warranty paperwork and register as needed.

· Keep the sales team up-to-date on all available rebates.

· Manage time frames and deadlines for rebate claims.

· Schedule inspections with customers for mechanical & electrical permits.

· Complete minor label permitting.

· Claim rebates for any installs that have them.

· Change or Assist with install scheduling as needed.

· Keep sales brochure racks up-to-date and stocked.

· Manage multiple databases used to track rebates, warranties and electrical.

· Bill out phased projects for large projects or contractors on a regular basis.

· Ensure jobs and projects are becoming completed within dispatching software a certain way.

· Track referral payments to ensure accounts payable is paying as needed.

· Facilitate the completion of un-completed installs as needed

Job Type: Full-time

Pay: $16.00 - $20.00 per hour
