About the role:
This position reports directly to the Assistant Controller and is a member of Accounting Services. Accounting Services is under the Division of Administrative Services which reports to the Vice President of Administration.
What you will be doing:
- Assist customer service areas: Organize and perform staff, student assistant and departmental training with current information and assist with developing training materials. Customer service functional areas include bulldog ID card, cashiering, student accounts, receptionist area, imaging services, and accounting services
- Assist with responding to customer in-person inquires, phone calls and emails regarding their account (billing, payment, refund, BankMobile, 1098-T, direct deposit, ID card) and other related inquires and /or direct them to the appropriate resource.
- Troubleshoot system generated issues and work with the Customer Service Coordinator and vendors to resolve them efficiently and expediently.
- Assist with organizing and developing procedures and/or recommend procedural changes and create/update forms, reports, and comprehensive business process guides.
- Monitor, verify and approve student assistant attendance and/or payroll activity.
- Greet customers, answer phones, assist with resolving customer complaints, diffuse upset customers and create reports for improvement.
- Assist with work assignments, work schedules, and statistical reports.
- Assist with Coordinating and monitoring the ACD phone system and department listserv to ensure all calls and emails are answered accurately and timely.
- Coordinate office purchasing and maintain and organize an adequate supplies inventory. Coordinate equipment maintenance and repairs.
- Assist with coordinating and organizing files and document scanning.
- Create and update Microsoft Excel spread sheets and Microsoft Word documents
- Provide back-up receipting support to Cashiering Services
- Distribute checks and Student ID cards.
What will make you successful:
- General working knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices; and basic knowledge of Generally Accepted Accounting Principles (GAAP).
- Ability to review financial documents for accuracy, completeness, validity, and adherence to standards; compute and post numbers rapidly and accurately; maintain files and records; identify, trace, and correct errors; follow directions; interpret and apply written rules and regulations; establish and maintain effective working relationships with others; exercise tact, courtesy, alertness, and good judgment in responding to others; use current computer word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems, such as student accounting, cashiering and student financial aid; and read and write English at a level appropriate to the position.
Requirements:
- Equivalent to three years of progressively responsible financial record-keeping experience, or any equivalent combination of education and experience, which has provided the above knowledge and abilities.
