Job description
Primary purpose of this position is to ensure that all agency documents are accurately received, scanned into the electronic document management system and to provide support to the Energy Assistance Program through various responsibilities.
Primary Responsibilities Include:

- Ensures all Energy Assistance Program documents are accurately received, stamped, logged and scanned into the electronic management system.
- Works with the Energy Assistance Program Manager and the IT Manager to ensure the proper function of the electronic management systems. Assists with the testing and implementation of the electronic management system changes in workflow and protocols.
- Trains and assists staff in the use of the electronic management system.
- Assists the Energy Programs Manager – Administrative to create and implement a schedule for scanning and uploading Energy Assistance Program documents into the electronic management system.
- Reviews applications received from the satellite offices for issues and provides resolution to issues found.

- Receives daily postal mail for the Energy Assistance Program and date stamps all applications & information.
- Assures all applications for Energy Assistance are logged into the eHEAT system within three days of receipt and scanned into the electronic data management system.
- Provides data entry support for the Energy Assistance Program.
- Reviews applications received from the satellite offices for data entry issues and provides resolution for any issues found.

- Manages the Energy Assistance Program email account.
- Corresponds with households regarding their application questions.
- Provides households with documents to finish their applications.
- Forwards email correspondence to appropriate Energy Assistance Program staff.

- Mails applications, postcards and letters for the Energy Assistance Program.
- Assists Energy Programs Manager with projects.
- Attend Community Outreach events.
- Other duties as assigned.
Required Qualifications
- High School Diploma or Equivalent.
- Microsoft Office and email competent.
- Customer Service experience.
- Fluent in English and ability to read and write professionally.
Preferred Qualifications
- Bilingual or multilingual and ability to read and write professionally.
- Office work experience.
Entry level; Full-Time, Temporary Position (October 2022 - March 2023, with the possibility of an extension); 40 hours per week; Must work in the office;
