The Development Coordinator provides administrative coordination and support to the Director of Development Operations and the Events & Donor Relations Officer; and accomplishes tasks to further the mission of the Development office.

Location: This position is based out of LifeWorks NW's Sylvan site.

Pay/Benefits: $23.15 starting hourly pay plus, Full benefits.

Essential Responsibilities:

Gift Processing and Database Responsibilities

Assist in Raiser's Edge maintenance, including (but not limited to):

  • Open, sort, and process incoming cash gifts and pledges
  • Daily gift batches and acknowledgement letters
  • Coordinate potential in-kind gifts with programs and process donations once received
  • Assist with quarterly pledge reminders
  • Review and approve program solicitation requests
  • Assist with data cleanup projects
  • Maintain annual report listings and other lists as needed.
  • Generates mailing lists and other lists as needed
  • Assist with prospect research and ensure that data is entered accurately in Raiser's Edge
Special Event Planning Responsibilities
  • Assist the Events and Donor Relations Officer with two major annual fundraising events, the Something to Talk About Breakfast and the Iron Chef. Tasks may include registration, volunteers, auctions and logistics.
  • Coordinate fund development events such as the annual Donor Recognition Event, receptions, coffees, and site tours.
  • Serve as point of contact for table captains for the breakfast
  • Recruit and track internal and external volunteers for fundraising events and activities
  • Keep track of event finances including check requests, invoicing, and reporting.
Donor Stewardship Responsibilities
  • Manage the donor stewardship program to ensure donors at all levels are thanked appropriately for their investment in LifeWorks NW. Update and revise as needed.
General Development Responsibilities
  • Assist with the coordination of the annual fund program, which currently including but not limited to end-of-year and spring mailings.
  • Produce mailings, including running labels, merging documents, and transporting materials to the mail house when necessary.
  • Assist in writing projects and graphic presentations, including such projects as annual plans, slide presentations, photographic displays, and responses to correspondence containing routine inquiries.
  • Coordinate on-line marketing campaigns to engage donors and promote our fundraising efforts.
  • Manage Staff Giving campaign.
  • Manage Development Intranet presence.
  • Assist with planned giving program
  • Assist with development-specific Board committee meetings. Prepare agendas and meeting minutes and make arrangements (including refreshments) for committee and other meetings.
  • Support the work of the Development Operations Director, e.g., scheduling appointments, travel arrangements and written communication.
  • Perform general office duties such as ordering supplies.
  • Serve as a liaison to the site manager.
  • Track and monitor all budgetary expenses for Development department.
  • Review and approve program solicitation requests, tracking all requests for a rolling 12-month period to ensure that businesses are not asked repeatedly.
  • Maintain LifeWorks NW's listing on GuideStar.
  • Travel between sites or in the community.
  • Must be able to work some early mornings, evenings and the occasional weekend.
  • Meet performance standards for productivity, accuracy and quality of work, customer service, teamwork, attendance and punctuality as well as projects/objectives as defined in the Performance Review.
  • Continually increase level of cultural sensitivity, awareness and competency.
  • Participate in regular individual and team meetings with supervisor. Attend informational meetings which may include all staff and team meetings, consultation with other staff and required trainings.
  • Serve as an effective member of the team in completing tasks as assigned toward furthering the mission of the Development office.
  • Maintains confidentiality of donor information.

Qualifications:

  • Bachelor's degree preferred; relative work experience can substitute for the degree.
  • At least one year experience in an office environment is preferred.
  • Professional demeanor with excellent communication and customer service skills.
  • Ability to develop and maintain effective working relationships with staff, board and committee members, donors, prospects, and volunteers with varying needs and expectations.
  • Excellent administrative and organizational skills with the ability to prioritize and manage multiple tasks and work in an ever-changing environment
  • Experience with Raiser's Edge or other donor database software strongly preferred.
  • Computer proficiency required, including Microsoft Office. Knowledge of PowerPoint, graphic design, and desktop publishing a plus. Word processing, minimum 50 wpm.
  • Excellent writing, grammar, proofreading, and presentation skills.
  • Working knowledge of image scanner, internet and e-mail.
  • Interest in/passion for LifeWorks NW mission
  • Demonstrates effective communication skills and maintains a cooperative working relationship with others in a culturally diverse environment.
  • Requires access to a car and valid driver's license.
  • Ability to perform essential functions of job without creating a direct threat to the safety of self or others.
