THE OPPORTUNITY
The New Jersey Symphony seeks a full-time Operations Manager or Director of Operations, Orchestral to join a high-performing team of six. This position also has close contact with the Artistic Planning department.
This position offers high-level experience in all aspects of orchestral operations. There are regular opportunities to work with and be mentored by senior employees, and the position involves exposure to major performing artists and a vibrant community of professional musicians.
This position has the primary responsibility for the onstage operations of the New Jersey Symphony’s main stage and parks concerts.
The ideal candidate will be someone who can seamlessly facilitate the administrative duties of the Operations department, bringing a positive, team-oriented attitude and a collaborative spirit to this position. Currently, all New Jersey Symphony employees work on a hybrid basis splitting work from the office and work from home. There is a required minimum of two days of in-office work per week for this position, and routine on-site evenings and weekends will be required.
DUTIES

  • Maintain smooth flow of logistical and production information within the Operations Department by following established processes and updating and distributing production documents.
  • Coordinate with venues on production notes and day-to-day operations to proactively meet the needs of the orchestra. Including auditions and special events.
  • Work closely with the Artistic Department to collect and disseminate information including instrumentation, schedule, rehearsal orders, stage setups and other various details in advance of concerts.
  • Serve as primary on-site stage manager for orchestra concerts, in rotation with Operations staff. Supervise stage technicians and local International Alliance of Theatrical Stage Employees (IATSE) stagehands.
  • Serve as on-site stage manager for CP events occasionally, in rotation with Community Partners staff.
  • Work with development staff to plan and implement special events.
  • Oversee musician crew payroll. Coordinate OPAS data entry with the Orchestra Personnel Manager and Community Partners staff. Enter payroll for Education Department into OPAS. Generate final reports from OPAS for Finance department.
  • Process stage crew payroll, including completing new hire paperwork for stage crew members.
  • Reconcile invoices, track expenses, and maintain updated departmental budget information throughout the season. Project budget needs for future projects and seasons.
  • With Operations Coordinator and other department members, create and assemble the musician handbook for each season.
  • Serve as primary contact for external media projects, coordinating needs of various Symphony stake holders and communicating them effectively. (Video & audio recording.)
  • Coordinate instrument and equipment rentals. Procure supplies for stage and office operations as needed.
  • Other duties as assigned.

ESSENTIAL SKILLS

  • Knowledge of live performing arts and specifically classical music.
  • Bachelor’s degree or equivalent combination of education/training in classical music production or related field.
  • Minimum three years’ administrative experience in an arts organization or educational setting.
  • Strong working knowledge of standard Microsoft Office applications.
  • Experience with OPAS (Orchestra Planning and Administration Software) and/or databases helpful, but not required.
  • A demonstrated understanding of the needs of professional musicians and how to support them to perform at their best.
  • Knowledge of concert and theatrical production.
  • Excellent written and verbal communication skills.
  • High level of professionalism and to handle confidential information.
  • Excellent interpersonal skills.
  • Results oriented, able to work on multiple projects simultaneously, and comfortable delegating to and managing others.

WORKING CONDITIONS/PHYSICAL DEMANDS
Some functions of the job will be performed during the evenings and on Saturdays and Sundays, as the New Jersey Symphony’s performance schedule dictates. Access to an automobile and valid driver’s license are encouraged since occasionally venues are not directly accessible through public transportation. The employee must be able to lift 20lbs, speak on a microphone, communicate and listen on a headset. The employee will occasionally be standing on uneven surfaces and navigating narrow backstage spaces.
