General Purpose:
The Director of Records develops, implements, and manages a firm-wide Records and Information Governance program designed to facilitate effective and efficient handling of business records and other information, including both physical and electronic; planning, development and administration of the records retention policy; maintenance of the records retention schedule; implementation of business processes that will ensure the appropriate retention of records and the timely and efficient disposition of obsolete records; and off-site storage of inactive records. The Director plays a key role in helping educate and support staff, paralegals, and attorneys on the firm’s records retention policies and procedures. This role will be in-office (or hybrid), based out of any of our Holland and Hart office locations.
Essential Duties/Responsibilities:
- Drives best practices and innovation to ensure the department is capitalizing on efficiency, productivity and customer experience.
- Resolves concerns or challenges impacting attorneys and/or the firm’s operations to drive towards positive outcomes.
- Trains and communicates with all designated records staff throughout the firm to ensure policies and procedures are being followed.
- Coordinates and directs the Records Services Center (RSC) to ensure that a high quality, customer-focused, and continually improving service is delivered.
- Ensures the firm’s requests for information are managed effectively, and responses are provided efficiently, accurately, and in line with firm policy and procedures.
- Regularly reviews the firm’s policies and procedures to ensure technical, business processes, and compliance changes are addressed.
- Ensures staff resources are managed effectively to meet business needs.
- Develops and manages the department’s budget, goals, and efficacy.
Supervisory Duties:
- Encourages, coaches and holds accountable the RSC team to fulfill the firm’s mission and values.
- Organizes and oversees the schedules, work, and productivity of the RSC team and supervisors/managers as assigned.
- Ensures the RSC team is fully trained and prepared to perform their job duties.
- Coaches supervisors/managers to manage department efficiently and in accordance with departmental goals.
- In accordance with policy, participates in staffing for teams and decision making on hiring.
- Provides effective support, mentoring and leadership to the team’s managers.
- Provides performance feedback and completes evaluations that are timely and constructive.
- With the assistance of HR, handles discipline and termination of employees as needed and in accordance with company policy.
Job Qualifications (Education, Experience and Certification):
- Bachelor’s degree in project management, records management or related area with a minimum of 5 years of experience in legal records and information governance. Additional experience may substitute for the bachelor’s degree.
- Three plus years of leadership as the head of a functional department.
- Expert knowledge of records and information governance methodology of physical and electronic records.
- Demonstrated project management experience.
- Strong computer skills, expert knowledge of current records and document management software, matter mobility systems, disposition workflows, and digitization technologies and standards.
- Experience with technology and developments in electronic records, digital asset management and digital repository fields.
- Demonstrated excellent written and oral skills.
- Ability to direct a department’s budget, staff, policies, procedures, projects, and ad hoc requests to meet firm’s objectives.

Physical Requirements:
While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Work Environment:
Professional office atmosphere. Sedentary work that primarily involves sitting or standing for prolonged periods. Position may require occasional off-hour meetings and events. Travel may also be required to firm office locations, for conferences or other seminars during the business week, although some overnight/weekend travel may be expected.

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. CO salary range - $85,593.00 to $142,655.00. A discretionary bonus may be available based upon performance.
