POSITION SUMMARY:

As the Payroll Director, you will lead the payroll function and lead internal team members and our 3rd party payroll vendor to ensure payroll accuracy and compliance for up to 40,000 crew members that will grow approximately 20% per year across 40+ states, 5+ ship centers, and approx 1,200 stores that will grow up to 3,500+.

You will be the key contributor to a fast paced, high growth environment and will leverage your strengthen your understanding of both operational and technical payroll processes. The successful candidate will be someone who is looking to build payroll process in a rapidly growing company. This position will report to the VP, Controller and will work closely with our Human Resources, HR Information Systems team, field and ship center leadership team.

Job Responsibilities:

  • Oversee the payroll processing for multi-state crew members (salaried and hourly).
  • Partner with the Human Resources team to develop payroll best practices, guidelines and procedures as well as integrate with HR systems.
  • Understand payroll strategies, deliver and implement recommendations for improving payroll process. Champions payroll-related projects. Leads and supports all projects and initiatives.
  • Lead and oversee SOX key controls and quarterly reviews
  • Evaluate the payroll systems’ internal control and procedures and recommend changes as needed to ensure the safeguarding of assets
  • Develop, implement and maintain key policies and procedures for payroll.
  • Lead 3rd party payroll team to ensure a positive crew member experience for all payroll related inquiries and escalations and to drive efficiencies and accuracy.
  • Identifies and quantifies opportunities to drive efficiencies and automates processes within Payroll; creates standard procedures for these tasks and integrates practices and processes into day-to-day Payroll management
  • Handles escalated payroll issues; interprets the root cause analyses completed by Payroll Specialists and 3rd party payroll team and develops safeguards to ensure the issues are resolved and not repeated
  • Lead ADP Error report reconciliation calls and validate/implement changes
  • Reconcile payroll prior to transmission and validate confirmed reports
  • Research and resolve discrepancies with employee earnings, deductions, taxes and all other payroll and systems related issues
  • Calculate and process manual checks/issue pay cards
  • Research, analyze, and resolve all discrepancies, reporting to management as needed
  • Run ad-hoc payroll reports
  • Work with accounting team to ensure all payroll accounting is completed accurately and timely including accounting/general ledger functions as it relates to payroll, including payroll journal entries, accruals and other month-end close functions
  • Ensures accounting distribution and preparation of deductions; remediates any issues with the general ledger by making sure Finance and Accounting has all the information they need
  • Assure confidentiality and security of payroll records
  • Oversee all garnishments to guarantee they are accurately processed
  • Stay abreast of current legislation and market trends affecting payroll and make recommendations accordingly
  • Managing day-to-day functions of the Payroll department while maintaining a healthy work/life balance, promoting an atmosphere of coaching and development, creating strong morale and engagement levels within the team/department, motivating others to achieve results beyond their immediate goals and objectives, and consistently provides overall team feedback and individual feedback
  • Oversee accurate payroll processing and tax compliance
  • Require strong collaboration with management in all areas of the organization with a variety of customers at multiple levels across multiple businesses across the country
  • Directing all payroll strategies and must have the ability to handle high volume payrolls
  • Drive the delivery and technical support for Payroll initiatives and ensure ongoing governance
  • Build and maintain relationships and act as a change agent to embrace and support new methods to service the customer
  • Pro-actively lead and facilitate current standardization and transition initiatives and develop policies and procedures
  • Manage vendor relationships for managed services /outsourcing, holding vendors accountable for service delivery
  • Organization of information and statements for audits, including preparation of records and documentation for both internal and external auditors
  • Partner with 3rd party payroll, Human Resources and Legal/Risk Management regarding 401(k) and workers' compensation audits
  • Partner with Senior Leadership to achieve strategic objectives through successful implementation and completion of strategic initiatives
  • Regularly review performance with leadership/stakeholders to assess performance and identify corrective and improvement actions required, challenging the status quo, and support the design and implementation of continuous performance improvement to streamline and automate and for better ways to exceed customer (corp, field, and shipcenters) expectations
  • Establishes budgets that align with functional and organizational goals

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business preferred or equivalent work experience
  • 10+ years minimum of payroll management experience in a multi-state environment is required
  • Advanced knowledge of payroll process and ADP. Experience with ADP Vantage, a plus
  • Knowledge of Workday and UKG
  • Working knowledge of payroll best practices
  • Strong knowledge of federal and state regulations
  • Able to thrive in a fast- paced environment
  • Advanced Excel skills and experience creating pivot tables, VLOOKUP and capable of handling a high volume of data
  • High degree of professionalism
  • Ability to maintain employee confidence and protect payroll operations by producing accurate payrolls and keeping information confidential
  • Strong interpersonal (verbal and written) communication skills
  • Ability to communicate with various levels of management
  • Strong decision-making, organizational, problem-solving, manage multi task, and analytical skills
