Brief Position Description:

The position incorporates executive support for the Division Director and division operations-related coordination to support the implementation of division initiatives and priorities under the direction of the Division Operations Director (Division 1 includes 9 content-aligned areas of work with 300+ staff). In addition to providing executive support to division leadership, this position will provide project coordination support for select projects and division initiatives as well as provide copy-editing, formatting, proofing, 508 compliance, and production of materials, ensuring the submission of high-quality deliverables.

The ideal candidate is well-organized, detail-oriented, and analytical with excellent communication and interpersonal skills. Content knowledge or experience in the field of education is highly valued. This position requires maintaining confidentiality on issues that may be raised in conversation with executive leadership.

Responsibilities:

  • Provide executive support to the Division Director (routinely organize and analyze information, maintain calendars, prepare agendas, arrange travel, process expenses, draft correspondence; represent the Division Director in communication with executive and agency leadership as well as external clients).
  • Coordinate the division’s hiring process, implementing a continuous improvement lens to update structures and tools through a collaborative approach with the Division Operations Director, the Human Resources Department, and cross-division peers; provide guidance and tailored support to hiring managers to ensure an effective and efficient hiring process; track, maintain, and analyze data on staff transitions and prepare (draft) reports as requested.
  • Coordinate the Division 1 Community Central web presence, implementing a continuous improvement lens to source, update, and refine content that keeps division staff apprised of division priorities, processes and procedures, and resources; promote staff engagement and use of the site; and apply experience and judgment to structure the web presence in ways that improve the ability of staff to efficiently navigate the site.
  • Coordinate internal and external facing projects (creating structures and tools to assist with project management such as developing timelines for deliverables and reporting, internal team meeting schedule and communication, tracking consultant and subcontractor invoicing and payment, and other tasks identified by the project lead/director).
  • Coordinate and support activities of the D1 Leadership and Administration Teams (planning, implementation, and follow-up for key meetings and related events).
  • Coordinate and support the production of online meetings including working with the presenter from concept to final presentation to meeting summary (requires proficiency in the use of a variety of online tools, including Zoom, Padlet, Jamboard, and other online meeting software).
  • Provide copy-editing, proofing, formatting, and 508-compliance support for projects across Division 1 as needed.
  • Contribute to the development of materials and systems that increase efficiencies within and across projects in Division 1; in collaboration with cross-division peers, contribute to efficiencies and consistency related to common practices across divisions.
  • Maintain confidentiality.

Qualifications:

  • Bachelor’s degree or equivalent experience
  • Previous experience supporting executive staff for at least two years
  • Excellent interpersonal and communications skills
  • Demonstrated expertise with writing for different audiences and various styles, copy-editing, proofreading, and document formatting
  • Experience with project coordination including the ability to identify and think through all necessary steps of a project, create structures and tools to support team communication and the timely completion of deliverables and reporting, set appropriate personal deadlines, adhere to team deadlines, move seamlessly between prioritized tasks
  • Resourcefulness and careful attention to detail are a must, while also keeping the “big picture” and context in mind
  • Ability to emphasize a collaborative approach using high-quality customer service skills
  • Advanced proficiency with Microsoft Office, including Word, Excel, and PowerPoint, including the ability to create sophisticated diagrams, charts, graphs, tables, and presentations
  • Ability to quickly adapt to new computer programs/software
  • A commitment to excellence and equity and having an impact on the lives of children
  • Occasional travel
  • Some education sector experience preferred (examples include experience working with state education agency, federal or state-funded programs, or philanthropic organizations that fund education initiatives)

SALARY AND BENEFITS:

The full salary range for this position, WestEd level F, is $74,080 to $111,100 but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $74,080 to $92,600. The actual offer takes into account multiple factors including but not limited to education; experience; internal equity, and other organizational needs.

In addition to the base salary, benefits include:

  • 15% contribution toward retirement effective day 1 of employment (Example: Total Cash Compensation based on $100K annual salary + 15% ($15,000) = $115,000/yr with WestEd retirement contribution)
