This position provides a variety of clerical duties in a team environment. Working under the supervision of a manager or a team, this role will perform essential job duties and functions as assigned for Operations and Maintenance (O&M) and project documentation. The individual will perform management of documentation in an efficient manner while maintaining effective communication with Customers, Clients, Engineers, Project Managers, Site Personnel, Subcontractors, etc.

  • Analyze customer’s requests to determine needed information, and assist in furnishing or locating that information.
  • Assign unique identifier barcode, catalog drawings, manuals and all document material based on subject matter, equipment, buildings or discipline.
  • Locate unusual or unique information in response to specific requests.
  • Manage the acquisition of new materials.
  • Daily activities to include receiving, shelving, researching, cataloging project documentation and maintained equipment.
  • Develop document library policies and procedures.
  • Evaluate materials to determine outdated and unused material to be discarded.
  • Archive the design specifications documents, O&M Manuals and drawing packages.
  • Provide general administrative support including meeting coordination, event planning, and support services.
  • Perform tasks on standard office equipment such as personal computers, copiers, scanners, and shredders.
  • Support activities between departments, disciplines, and outside representatives for the purposes of improving work flow.
  • Maintain compliance with all applicable policies, procedures, and global standards.
  • Participate in project kick off meetings.
  • The individual may be required to step in for an absent lead.
  • Review work of others for accuracy and timeliness.
  • May direct the work activity and training of junior team members.
  • Reports directly to Design manager.
  • Other duties as assigned.

Salary: $28/hour - $40/hour

Basic Job Requirements

  • A combination of education and directly related experience equal to five (5) years; some locations may have additional or different qualifications in order to comply with local requirements
  • Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and visitors
  • Job related technical knowledge necessary to complete the job
  • Ability to attend to detail and work in a time-conscious and time-effective manner

Other Job Requirements

  • US Citizen
  • Must have an active (or ability to obtain and maintain) TS/SCI with CI Polygraph

Preferred Qualifications

  • High School Diploma or equivalent appropriate General Certificates of Secondary Education or global equivalent
  • Two (2) years of project related experience
  • Demonstrated problem resolution and troubleshooting skills
  • Ability to adapt to change, work under pressure, and manage multiple tasks and priorities
  • Basic computer experience and knowledge of typical software programs such as Microsoft Word, Excel, Adobe Acrobat, email, and Microsoft Internet Explorer
  • Basic interpersonal communication skills
  • Ability to read and follow written and verbal instructions
