Job description
You'll provide business management functions and support for field operations, business services, leased facility issues, workstation set-up, equipment purchase requests, office reconfiguration, and supplies. You will liaison with landlords, contractors, vendors, and others regarding facility maintenance. You'll provide records management, and coordinate emergency repairs. You will also supervise administrative staff who provide direct customer service.
King County employees receive 5% premium pay in addition to the advertised salary and a free Orca card for transportation use.
Some of what you'll do:
Perform small repairs and telecommunication troubleshooting- Conduct walkthroughs as needed with property managers and parent agencies
- Ensures various systems and equipment are operating properly.
- Provide asset and inventory management, safety, and emergency management
- Project and analyze supply needs and create purchase orders
- Coordinate new employee building access, furniture, and phone/voicemail access
- Provide in-person daily direct administrative support to the Administrator and management team
- Design office space layouts and records management, transportation, and vehicle maintenance
- Serve as primary liaison with the OCEE building manager, landlord, vendors, contractors, Regional Business Center, co-located divisions and agencies, and others
- Arrange facility maintenance, janitorial work, storage plans, emergency repairs, resolve facility issues, and coordinate activities with involved parties to achieve these tasks efficiently and cost-effectively
- Maintain and submit attendance and leave information to ensure timely and accurate staff compensation
- Manage and schedule multiple conference rooms
- Oversee the service maintenance on all equipment
- Participate in the facility safety committee
- Interact with the public and staff of all levels of DSHS to resolve administrative inquiries and issues
What we're looking for:
- Ability to plan, organize, assign, review and coordinate work production
- Supervisory skills
- Extensive knowledge of office organization, methods, management principles, and supervisory techniques
- Ability to develop procedures for the most effective utilization of space, equipment, and personnel
- Ability to multi-task and manage conflicting priorities
- Experience with inventory, supply, purchasing, equipment, and maintenance
- Effectively utilize Microsoft Office programs and learn agency-specific programs
- Effective communication skills for a diverse range of audiences
- Excellent time management and organizational skills
- Ability to work in a multicultural services environment
- Ability to resolve conflicts/complaints between people and groups with differing goals
- Knowledge of Microsoft Office programs Word, Outlook, and Excel
