General Position Summary
:

This position reports to the E-Commerce Operations Manager and works closely with key internal partners. The role is an integral part of the team charged with coordinating, supporting and maintaining product inventory flow for e-commerce.

Key player in supporting the E-Commerce Operations Manager and Marketing Department in efforts to drive e-commerce guidelines and development of process to monitor inventory control of merchandise.

Provide as needed support to E-Commerce Assistant Operations Manager in coordination of all e-commerce order fulfillment processes to ensure satisfaction of online customers.


Essential Functions/Major Responsibilities
:

Coordinate and maintain inventory flow for the website utilizing the below guidelines:

  • Digital receipt of inventory into Celerant POS to ensure timely replenishment of inventory online, uploads and available inventory integration. Communicate with Inventory Control Manager to reconcile any discrepancies.
  • Execute transfer of data between Celerant POS, Excel and Google Sheets to ensure timely uploads of all new products received. Communicate regularly with Marketing Department for notification of new product; identify any special requirements.
  • Identify necessary barcode modifications for unique product variants and communicate necessary POS adjustments with E-Commerce Operations Manager, Inventory Control Manager and Operations team.
  • Maintain accurate web-store inventory and execute all website inventory tasks. Perform weekly E-Commerce Inventory Audits to identify and reconcile inconsistencies within inventory to ensure accurate online inventory and proper recording of receipts. Work in partnership with E-Commerce Operations Manager and Inventory Control Manager to resolve outstanding issues.
  • Work closely with E-Commerce Operations Manager to prepare reports to identify physical inventory and online inventory issues.
  • Execute and process all additional inventory transfers and ticket adjustments, including, but not limited to, store transfers (DTPs), damages, promotional items, etc.
  • Communicate with Stores and Distribution Center to monitor inbound/outbound inventory shipments.
  • Monitor general inventory organization within e-commerce fulfillment center.
  • Monitor and submit all supply orders needed for inventory processing.
  • Provide support to E-Commerce Operations Manager and E-Commerce Assistant Operations Manager to properly train employees in all necessary inventory tasks and, as needed, all fulfillment tasks.
  • As needed, assist E-Commerce Assistant Operations Manager in completing all e-commerce order fulfillment processes. This includes preparing website orders for product picking and order staging, monitoring order states and product pick locations, and overall ensuring all orders are accounted for and processed accurately.
  • As needed, provide support in local store pulls, receiving products from local store picks and appropriately allocating products to orders. Collaborate with E-Commerce Assistant Operations Manager on any outstanding issues.
  • As needed, complete necessary refunds for orders that cannot be fulfilled. Deliver exceptional customer service; ensure customers are addressed with professionalism and compassion.


Consult with E-Commerce Operations Manager on a daily basis in all aspects of web inventory planning, organization and execution.

Consult with Marketing Department in all aspects of online product planning and execution.

Provide analytical and project support to Marketing/E-Commerce team.


Job Scope
:

This position will execute multiple projects simultaneously through multi-tasking and prioritization. These projects will require a variety of comprehensive programs involving low to mid-level of complexity and multiple deadlines. Tasks are generally routine and may include more complex tasks. Knowledge required is limited to the work routines and supporting processes of the area.

Job follows clearly defined procedures and resolves problems by applying judgment to select from predefined alternatives.

Duties are performed under limited amount of supervision and all decisions are made within general company policy and constraints.

:

Works under general supervision. The jobholder has no supervisory responsibilities.

Position requires effective communication with multiple departments within the company (Marketing, Operations, Stores, Distribution, etc.) in order to contribute to the smooth flow of information and efficient operation of the organization. Crucial to develop a strong partnership with these departments and teams within to align and deliver best in class service. Interactions tend to focus on information exchange, problem solving, or responding to business needs.


Specific Job Skills:

  • Must have strong computer, digital visual skills and high-level understanding of web management.
  • Strong understanding of Microsoft Excel.
  • Familiarity with Shopify and/or Celerant POS preferred.
  • Excellent interpersonal and communication skills.
  • Exceptional organizational skills. Ability to multi-task with varying deadlines.
  • Self-motivated and results oriented; works independently.
  • Problem solving & troubleshooting capabilities. Process & procedure oriented.


Education and/or Experience
:

No specific education required, HS or GED preferred. Requires 2 - 5 years of experience in position or specialization. Experience must demonstrate progressive ability to adapt & execute process.


Job Conditions
:

Job may require hours that exceed 8 per day and/or 40 per week during peak season, events or rush projects. Position requires occasional travel, weekend and evening meetings, events & set-ups. Physical ability to use telephone, computer hardware/software including keyboard, type, sit, and stand for extended periods of time, and occasionally lifting/carry up to 40lbs.
