Organization: Cancer Support Community South Bay (CSC South Bay)

Position Summary: CSC South Bay is looking for an experienced Event & Volunteer Manager who loves hosting and attending fundraising events and understands the important role events play in a nonprofit organization raising funds to help the community. This position is an integral part of the administrative team at CSC South Bay. This position is responsible for the planning and execution of fundraising events, staff & board of director events, and program events throughout the year ranging from 10-500 attendees. As a nonprofit organization, we rely heavily on the support of our volunteers. This position has the exciting opportunity to build a comprehensive volunteer program to recruit, train and manage 100+ volunteers per year. This position does not currently supervise any others within the organization.

Position Type: Full-time hourly non-exempt, in-person at our Torrance office 4 days per week.

Pay: $26 - $28 per hour (FT equivalent of $54,080 - $58,240 per year)

Position Responsibilities

Event Planning & Management:

  • Assist Development Director in setting annual event strategy and associated fundraising goals.
  • Create memorable events that that raise much needed funds to support cancer patients and their families.
  • Execute two-large scale events per year with 500+ guests, utilizing the support of 50+ volunteers per event.
  • Plan and executive 5-7 smaller fundraising events per year, in collaboration with community partners.
  • Plan and execute 4-6 board and staff events per year for a total of 20-30 guests.
  • Attend all fundraising, staff and program events from arrival of first vendor to completion of clean-up and closing.
  • Identify event vendors, negotiate contracts, and manage all agreements.
  • Act as key support person to Special Event Committee consisting of board members, staff, donors, and community stakeholders.
  • Monitor all expenses and ensure events are within set budget allowance.
  • Grow number of beneficiary fundraising events hosted by community partners.
  • Cultivate and strengthen relationships with vendors, guests, volunteers and community partners.
  • Key thought partner in creative new event ideas, revenue generation and guest experience.
  • Collaborates closely with Communication Manager to develop event marketing and communications plan, including eblasts, social media, ticket sales, and event materials.
  • Coordinate feedback sessions post-event to reflect on what went well and where improvement is needed
  • Plan ongoing appreciation for event vendors, guests, volunteers and partners.

Volunteer Management:

  • Develop robust volunteer program to support fundraising events, office administrative support, and special projects.
  • Develop recruitment, training and retention plan to engage volunteers in multiple ways throughout the year.
  • Work closely with other staff to anticipate their volunteer support needs and identify appropriate volunteers.
  • Develop volunteer job descriptions and plan for ensuring volunteers are happy and organization is benefiting from their service.
  • Implement tracking system to quantify volunteer service and keep duties and projects organized.

Qualifications:

  • Minimum 5 years professional event management experience required, preferably in the nonprofit sector.
  • Undergraduate college degree.
  • Love of event planning, hospitality, design and logistics.
  • Experience in volunteer services and volunteer management/coordination.
  • Excellent knowledge of event production and design with an emphasis on technical and logistical aspects of event planning including floor-plan development, detailed timelines, budgets, vendor negotiations, decor, menu planning and decision-making abilities.
  • Preference for individuals with a background in nonprofit fundraising and large-scale special events (for 500+ guests).
  • Professional, creative, meticulously organized, detailed, self-starter, works well under pressure, team player.
  • Ability to supervise, direct and motivate volunteers to fulfill goals and objectives.
  • Passion for the role fundraising plays in supporting the cancer community and growing our services.
  • Upbeat positive attitude and can-do attitude.

Job Type: Full-time

Pay: $54,080.00 - $58,240.00 per year
