JOB TITLE: Events Manager

DEPARTMENT: Administration

REPORTS TO: Revenue Director

STATUS: Full Time, Exempt
LOCATION: Daybreak Star Center GRADE: $60, 000 DOE

United Indians of All Tribes Foundation (UIATF) was founded to serve as a focal point for the renewal and regeneration of cultural identity in the greater Seattle area and beyond. Our mission is to provide educational, cultural, and social services that reconnect indigenous people in the Puget Sound region to their heritage by strengthening their senses of belonging and significance as Native people.

ESSENTIAL FUNCTIONS:

  • Assist in the coordination of social events such as annual Christmas gift drive, annual staff picnic, Pow Wow, and community dinners as required.
  • Coordinate and promote Daybreak Star for events working with facilities team and Revenue Director in increasing building revenue to maintain facility and overall building operations.
  • Initial point of contact for all building use requests, with timely response and negotiation turnaround under Revenue Director decisions.
  • Oversee and supervise all event setup and teardown, working with clients to provide excellent guest service and handle unexpected changes and challenges
  • Under Revenue Director oversight, update and ensure Daybreak Star calendar and facility rentals schedules are maintained and communicated to the rest of the organization
  • Oversee internal UIATF calendar of events and meetings utilizing the facilities.
  • Maintain records of signed agreements for all public use of UIATF facilities, ensure group/individual responsibility for every event, and regularly communicate with leadership team on building wear and tear, and liability concerns.
  • Project management of UIATF outreach and public events, including annual gala, art marts, wedding expos and plan and execute fundraising goals relating to the gala, including serving as the lead professional for donor/sponsorship contact and outreach with staff (i.e. auctioneer, additional staff)
  • Complete and track all paperwork and administrative needs for scheduled events
  • Record and maintain data from events, and regularly report on business to the

Board and Executive Director

  • Create biannual plans for growing the events business with clear cut monetary goals, and a budget to control coasts
  • Maintain all internal communications on revenue division events
  • Comfortable managing multiple projects and assignments concurrently
  • Create opportunities to connect donors with other channels i.e Art Program,

Retail corporate purchasing

  • Assist with tours of potential clients for building rental at Daybreak Star.
  • Work with HR and Facilities to ensure all required OSHA general industry workplace standards are up to date, including drills, documentation and training.
  • Lead COVID/Safety policy communication and response group meeting scheduling, including ongoing research of state and federal requirements, and recommended CDC, OSHA, EEOC and ADA guidance
  • Other duties as assigned

QUALIFICATIONS:

  • BA preferred, minimum of 3 years non-profit development and/or events planning and management experience
  • Strong written and oral communication skills, strong MS Office suite skills
  • Have the skill to work independently, maintain a schedule with the flexibility to work weekends overseeing planned events, and maintain regular contact/coordination with Revenue Director
  • Able to develop and manage workplans, track and meet deadlines, and write detailed reports
  • Adept at data management and analysis, including learning new data systems
  • Familiarity with Native communities and history is a plus
  • Reliable personal transportation, drivers license and auto insurance required for work related travel
  • Must pass a background check
  • Knowledgeable about digital marketing and social media advertising
  • Excellent scheduling and time management skills
  • Completed up to date COVID vaccination or acceptable exemption

Job Type: Full-time
