POSITION SUMMARY

The role of Executive / Administrative Assistant suits an enthusiastic, self-confident, committed and trustworthy individual who will provide key support to the Destination America CEO. You will need to enjoy working within a fast-paced environment, have plenty of initiative and strong communication skills, the ability to think on your feet and prioritize accordingly, along with diplomacy and tact when dealing with confidential and sensitive matters. A proactive attitude, strong eye for detail and exceptional organizational skills are essential for this rewarding role that provides great exposure to the Travel Corporation business.

KEY RESPONSIBILITIES

  • To provide outstanding secretarial and administrative support to the CEO
  • Complex diary management including arranging and coordinating internal and external meetings
  • Pro-active email management, responding on behalf of the CEO where necessary (meeting requests only)
  • Management of meeting agenda documentation, minutes and follow up of submissions required prior to meetings by participants
  • Organising travel arrangements for CEO and support for key executives as appropriate
  • Organising global conference calls and webinars in multi time zones
  • Preparation of PowerPoint Presentations
  • Preparation of reports (including collation of documentation) and preparation of meeting packs
  • Support with the Destination America LinkedIn account (responding to queries and posting updates)
  • Maintaining and updating various contact and distribution lists
  • Maintaining requests for business cards (printed or digital) and liaise with Marketing contact for updated internal use collateral
  • Assist and support executives to on-board new hires including submission of IT requirements, seating chart updates, Organisational chart updates and Yammer Welcome post on Day 1
  • Management of monthly CEO expense reconciliation
  • Management of the Marriot and Hilton ‘Points Program’ travel account
  • Administrative support for Incident Response Manager during a crisis
  • Co-ordination and support (organisational and administrative) to the Incident Response Management team for bi-annual training and scenario sessions
  • Administration of National Parks business licenses, Commercial Use Authorisations and annual attendance reconciliations
  • Liaise with relevant departments to ensure submission of GDPR requests are completely in a timely manner for submission to the CEO
  • Co-ordination and management of team Volunteer Days
  • Participation in projects and carrying out other duties that may be outside the standard remit

COMPETENCIES

  • Fluent in English
  • Exceptional organizational and communication skills
  • Proficient in Microsoft Office, particularly Word, Excel, PowerPoint, Outlook
  • Discretion and confidentiality and experience with managing sensitive information and confidential communications
  • High degree of accuracy, precision and attention to detail
  • Fast and accurate, able to work under pressure
  • Ability to multi-task, prioritize workload and work to deadlines
  • Excellent grammar and spelling – able to construct an email with limited oversight
  • Enthusiastic and positive attitude contributing to a highly motivated environment
  • Common sense and a strong work ethic
  • Proactive and seeks out solutions to problems with little prompting
  • Flexibility with hours (overtime)

EXPERIENCE

  • Previous experience in an administrative position essential
  • Prior working knowledge of Microsoft Office (Office 365)
  • Experience within the travel industry useful but not essential

TRAVEL AND OTHER REQUIREMENTS

  • Hybrid work environment with days in the Cypress, CA office as agreed

PAY RANGE

  • $25.00 - $28.00 hourly
