The Executive Administrative Assistant (EAA)serves as the primary support position to the President of Southern Bancorp Community Partners (SBCP) and CEO/President of Southern Bancorp Bank (SBB). Works proactively to prioritize and accomplish responsibilities while maintaining a high level of integrity and discretion in handling confidential information. Ensures the information and resources needed are readily available enabling these executives to be successful, focus on their highest priorities, and maintain communication with their direct reports and stakeholders. Provides support to the SBCP Board and standing committees by coordinating packets, agendas/presentations, and meeting notes.

The EAA serves as the Office Manager for the Little Rock office by ensuring the office services are operating smoothly and overseeing the work of Little Rock’s Office Assistant. Partners with the Facilities team to ensure proper offices are properly maintained and issues addressed.

Administrative Support responsibilities:

  • Strategically maximizes executives’ time through calendar management, planning and scheduling appointments/ meetings/teleconferences, priority-based resolution of scheduling conflicts, and relationship management as necessary.
  • Screens telephone calls, proactively addresses caller’s needs to the extent capable, or takes and delivers accurate messages, gathers and provides information for directing to the appropriate staff.
  • Drafts letters, documents, reports, presentations, and other business documents and correspondence.
  • Performs research collecting and analyzing data and information as needed.
  • Maintains executive confidence and protects operations by using discretion and keeping sensitive information confidential.
  • Provides historical reference and records management by developing and maintaining digital and physical filing and retrieval systems.
  • Provides meeting management support, including preparing agendas and minutes as needed, arranging rooms and technologies, sending calendar invitations, and coordinating communications.
  • Arranges travel and accommodations for executives, including conference registrations, and prepares expense reports and credit card reconciliations.
  • Maintains executives' contacts and customer lists.
  • Represents the company and the executive through great follow-through skills and sound judgment.
  • Manages special projects and events as assigned.

Office Manager Responsibilities:

  • Responsible for the day-to-day operations of the Little Rock Office as issues arise.
  • Manages vendor relationships for the Little Rock Office supply/equipment, phone, and building cleaning company; Coordinates building maintenance issues with the Little Rock Office assigned building personnel.
  • Coordinates systems issues with phones, computers, and IT.
  • Coordinates keys and access codes for the Little Rock Office; including coordination with the Security Company and the bank’s head Security Officer. Is the first responder for maintenance and compliance issues with access system in accordance with company policy.

Board support responsibilities:

  • Coordinates materials for SBCP board of director meetings, including but not limited to information packets, agendas and presentation materials, meeting facilities/meals, and drafts meeting minutes for board approval.
  • Assists SBCP & SBI Board members with travel arrangements and lodging as needed.
  • Performs other related duties as assigned.

Education and Experience

  • Associate's degree or equivalent combination of education and work experience.
  • Three years experience in an administrative or executive support role.

Knowledge, Skills, and Abilities

  • Proficient in using Microsoft Office products (Outlook, Excel, PowerPoint, Word, etc.).
  • Excellent written, verbal, and interpersonal communication skills are necessary.
  • Highly organized with the ability to effectively prioritize workflow and meet deadlines.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Occasional travel including overnight stays.

Preferred Qualifications

  • Experience as a paralegal, loan assistant, or working in the banking industry.
  • Experience with facilities maintenance and building operations.
  • Previous supervisory or team leadership experience is a plus.
