Job Description
As a member of the Steam Power Americas team, you will be an active contributor to the executive administrative duties for the mainly 3 Executives This role will require you to proactively coordinate, manage and drive the engagement and communication calendar and administrative duties for the applicable Executives
Success in this role looks like:
Establish yourself as a subject matter expert by coordinating complex and heavy calendars, meeting schedules, managing expenses accounts compliantly and in organizing business events aligned to overall business rhythm and travel needs. .
You will be an indispensable Americas team member, with excellent communication, time management and organization skills
Who You Are:
- You are someone who brings support, collaboration and has an effective working relationship with peers and others
- You have experience with Managing calendars, Microsoft office Applications in a fast-paced environment
Your Role:
- Proactively coordinate complex and heavy calendars, meeting schedules, and business events aligned to overall business rhythm and travel needs.
- Plan complex domestic and international travel itineraries in coordination with business meetings. Ensure travel requirements and policies are maintained within GE travel systems. Maintain passport and visa requirements.
- Prepare and reconcile expenses. Maintain expense reporting approvals and workflow to ensure timely reimbursements and reporting.
- Manage email information flow including reviewing, prioritizing and responding to email. Manage overall Outlook by summarizing weekly content, identifying Leader actions and automate filing to ensure organized and retrievable content.
- Schedule and coordinate team and staff meetings, all hands meetings, operating meetings and other meetings as needed.
- Coordinate business communication by directing business contacts to appropriate managers, gathering information for communications/presentations and/or disseminating information as needed.
- Establish and maintain strong communication links with cross functional teams and other stakeholders.
- Provide procurement support as required for geographically dispersed team, event materials, etc.
- Create/Receive Purchase Orders such as conference charge expenses and other related needs.
- Manage payment invoices for field employee training such as monthly invoices related to the field employee charges for training and drug testing prior to outage visits, etc.
- Process company contribution payment requests as requested including EFT payment requests related to GE/Customer partnering events.
- Administer field employee access for FedEx shipping account as requested for the field employees to have access to ship supplies, equipment.
- Prepare presentations, reports, spreadsheets, meeting minutes and other business information
- Maintain Organization charts, distribution list management, and team communication needs.
- Assist in planning employee engagement, events and recognition.
Basic Qualifications:
- Bachelor’s Degree from an accredited college or university
- (or a High School Diploma / GED with a minimum of 5 years of experience in an Executive or Administrative Assistant position).

- High customer service orientation experience Strong organizational skills and exceptional attention to detail and accuracy

- Ability to deal with ambiguity and handle stressful and difficult situations effectively
- Knowledgeable of GE policies / procedures
- Internet proficiency and knowledge of web-based applications
- Strong computer skills with proficiency in Microsoft Applications (PowerPoint, Word, and Excel)
- Strong oral and written communication skills
- Strong interpersonal and leadership skills
- Ability to work with geographically dispersed remote teams
