Position Overview
Arlo is in search of an Executive Assistant to provide executive-level administrative services to support the overall administrative operations of the Office of Local Defense Community Cooperation. You would serve as a liaison between OLDCC staff and administrative support. You will utilize Federal and DoD resources to ensure productivity and efficiency to ensure seamless administrative operations.
The Office of Local Defense Community Cooperation (OLDCC), in coordination with the other Federal Agencies, delivers a program of technical and financial assistance to enable states and communities to plan and carry out civilian responses to the workforce, business, and community needs arising from Defense actions; cooperate with their military installations and leverage public and private capabilities to deliver public infrastructure and services to enhance the military mission, achieve facility and infrastructure savings as well as reduced operating costs; and, increase military, civilian, and industrial readiness and resiliency, and support military families.

Job Responsibilities and Success Factors
Calendar and Meeting Management: The Contractor shall provide executive-level support to include forward-thinking, backward planning, and analysis of second and third-order effects, for the management and maintenance of the Western Regional Office (WRO) Director and other WRO organizational calendars and meetings.

  • Shall meet with the administrative team daily to ensure correspondence milestones and deadlines are annotated on the WRO Director and WRO organizational calendars (such as a conference room calendar), identify any meeting or logistical conflicts, and resolve any potential issues preventing the delay in meetings, review upcoming meetings, events, and other requirements that may require additional coordination, preparation, or otherwise.

Telephone Triage: Will service the main office phones to ensure that voicemails are recorded and messages are forwarded to the appropriate party on a routine basis.

  • With a professional demeanor, will answer office phone and refer calls to the appropriate individual(s) within WROin accordance with OPSEC procedures,

Reception: Serves as the initial point of contact for visitors entering the WRO suite

  • Will serve as the initial point of contact by greeting guests and staff when entering the OLDCC WRO suite located in Sacramento, California.
  • Will escort visitors to the appropriate conference area, office, or desk space in the appropriate
  • Will notify OLDCC IT support for tier 1 help desk assistance if the equipment is not operational via Agency’s ticketing system and follows up to ensure a ticket is addressed promptly to maintain the schedule of meetings each day.

Mail: Will facilitate the sending and receiving of mail and packages on behalf of the office ensuring packages and parcels are distributed to the appropriate staff members and that outbound packages are properly addressed and scheduled as needed with postal carriers.
Travel Arrangements: The contractor shall provide support for the planning and logistical requirements regarding the traveling of the WRO Director.

  • Will review trip requirements and develop an itinerary suitable to accommodate the trip objectives.
  • Will serve as the primary POC for managing and securing travel arrangements and plans on behalf of the WRO Director.

Office and HR Management: The contractor shall provide administrative support services to the WRO Office Manager per the following:

  • Will assist in the management and updating of various Agency listings including but not limited to phone rosters, COOP lists, Organizational charts, etc. ensuring records are maintained following Agency’s policy and correspondence procedures and will assist in the dissemination by OPSEC procedures and Information Assurance requirements.

Facilities Management:

  • Will assist the Officer Manager by overseeing, updating, and recording Facilities Management Tracker as required, attending maintenance inspections and meetings, and escorting maintenance personnel conducting work within the WRO Suite

Record Management:

  • Shall provide support for the management of electronic and paper files by NARA standards to ensure records remain compliant. The incumbent will assist in the management and maintenance of those records belonging to the WRO Director and will be primarily responsible for the WRO Director’s records.
  • Manage multiple priorities in a high-paced and fast-changing environment.
  • Perform other duties as assigned or required.

Education and Minimum Qualifications

  • Must have an active Secret clearance.
  • Associate’s degree with at least 5 years of administrative experience.
  • Proficient in Microsoft Office application software: e.g., Word, Excel, Project, PowerPoint, etc.
  • DoD experience, preferably OSD-level.
  • Familiar with the Kastle card system.
  • Ability to multitask and prioritize tasks.
  • Excellent time management skills.
  • Well-developed organizational skills.
  • Attention to detail.
  • Great verbal and written communication skills.

Desired Qualifications

  • Bachelor’s Degree.
  • Proficiency in EADS II” or “SmartSimple”.
