General Office Duties:

  • Processes and accurately distributes mail daily.
  • Prepares and maintains files of correspondence, documents and/or reports; reorganizes paper and electronic filing system as needed and approved by CEO.
  • Courteously answers phones and accurately routes calls coming into the Admin office; takes accurate messages and promptly forwards them to the appropriate person(s).

Coordinates volunteers and interns in conjunction with clinical and outreach staff.

Compiles information, statistical data, and prepares various reports individually and/or with other staff for presentation to various staff and Board committees, and the Board, and/or submission to funding or other agencies.

Works with and serves as backup for Human Resource functions:

  • To assure that providers' credentialing/privileging files are completed and remain current; assures that completed credentialing/ privileging files are provided to Chief Clinical/Medical Officer for his/her presentation to Peer Review Committee then routes files to CEO and Board of action.
  • For maintaining spreadsheet of licensed staff members' license and certification renewal dates, providing the individual staff members with reminders at least 2 months prior to license/ certification expiration and reminders until a copy of the renewal is received.

Works directly members of Leadership Team to assure that entity certifications/ deeming, licenses etc., are maintained current for programs such as, but not limited to:

  • CUA-Waived Laboratory Licenses
  • Enrollment in 340b drug program
  • Federal Tort Claims Act (FTCA) re-deeming with the Department of Justice
  • State pharmacy licenses, etc.
  • Prepares, submits, and tracks renewal applications for these and other programs and
  • Maintains the passwords and logins for entity related internet sites (EHB, FTCA, NPDA< Grants.gov, SAM.gov, etc.)

Establishes and maintains contract and other agreements files (both electronic and paper) along with a searchable electronic spreadsheet or database with key agreement components to facilitate renewals, etc.; works with CEO and others to keep agreements current.

Prepares correspondence and/or documents for CEO and other members of the Leadership Team.

Grant Preparation - Works with Leadership Team to:

  • Assist with the preparation of administrative, personnel, and clinical form updates.
  • Assist in the implementation of the Center's programs.
  • Complete all forms, excluding fiscal, for grant proposals.
  • Compile and merges information into the required formats for submission of grant proposals. Submits grant proposals as directed by the CEO.
  • Duplicate grants-publications to disperse to Leadership Team members and/or appropriate staff and maintains electronic files of all funding proposals and grants.

Board of Directors - Works with CEO and Leadership Team to:

  • Coordinate the Board of Directors monthly meeting including pre-meeting notices and calls to Board members, preparation of Board minutes and other materials for both Board committee and full Board meetings.
  • Sets up and maintain any electronic Board management system (BMS), such as BoardEffect; assures and/or provides access to BMS system for all Board members; trains Board and Leadership Team members in effective use of BMS.
  • Coordinate Board committee meetings as directed by the CEO and/or the Board Chair.

Prepares media releases as directed by CEO

Coordinates travel arrangements for entity staff as requested.

Coordinates travel arrangements and itineraries for job candidates as requested.

Travels, as necessary for outreach activities, meetings, and trainings as directed or requested by the CEO.

Plans and coordinates entity meetings and special functions in conjunction with and/or as requested by the CEO (e.g., luncheons, Year End Employee Appreciation luncheon/ party, Nurses' Week, Doctors' Day, etc.).

Assists with and participates in Compliance and Quality/Performance Improvement program reviews, activities, and reporting as requested by any member of the Leadership Team.

If bilingual, translates in Spanish between non-Spanish speaking staff and Spanish speaking patients as requested.

Performs all other duties as assigned.

EDUCATION: Bachelor's degree required.

EXPERIENCE: Two years' experience in an administrative office setting, health care field, preferred.
