Responsibilities:
As Executive Assistant, you will be supported by experienced leadership and administrative teams committed to the mission of facilitating lasting positive change for young people and their families:
  • Provide administrative support to the Executive Director including, but not limited to: scheduling meetings, recording meeting minutes, IT coordination, and organizing travel
  • Provide administrative support to Clinical Staff including, but not limited to: receiving & communicating client needs, managing shipping/receiving for the clinic, and managing clinic supply needs
  • Create, gather and organize documentation to support compliance and quality assurance including outcome data, attendance data, audit data.
  • Provide oversight and support healthcare billing
  • Assist in coordination & facilitation of clinic events such as open-houses, ribbon cutting, and clinic tours for families and community partners.
  • Assist with coordination of new employee orientation such as scheduling trainings, creating new-employee packets, and shadowing agendas
  • Act as the face-of-the-office by providing high-quality customer care to clients and guardians coming into the clinic
Qualifications:
What do you bring to this position?

Required:
  • Three (3) years of administrative experience in Healthcare of Mental Health setting
  • Demonstrated experience in customer facing role
  • Tech-savvy. Quick to learn knew software/applications
  • Highly proficient in Microsoft Office suite
  • Outstanding time management and ability to meet deadlines
  • Excellent verbal and written communication skills
  • Strong attention to detail, organizational skills, and decision-making skills
  • Self-starter / self-motivated to proactively problem solve, develop processes, and prioritize workflow
  • Top-notch interpersonal / communication skills (verbal and written)
Preferred:
  • Bachelor’s degree in psychology, business administration, or related field
  • Self-starter who seizes opportunities to meet immediate needs of the clinic
  • Ability to demonstrate a customer-focused attitude of professional support
  • Growth mindset with a hunger for professional development
