About the position:

Main responsibilities focus upon supporting all administrative activities surrounding the coordination with the Management Team.

ING Americas maintains client coverage in North and South America from its offices located in the United States* (New York, Dallas, Houston, Los Angeles & Totowa. Our business lines include Client Coverage, Lending Services, Financial Markets, and Treasury Services. We are well-positioned to leverage our local expertise, product specialization, and global network strength by offering a distribution channel for products from Europe and Asia to our clients in the Americas, and also by cross-selling European products and services to our Americas-based clients with business operations in ING Group's home markets. Responsibilities :

  • Organize local and international travel often complex and subject to change: flights, hotels, taxis, visas, currency, produce detailed itinerary
  • Plan and co-ordinate team and client events, professional invitations, manage distribution lists etc.
  • Invoice verification and processing
  • Manage both expenses & budgets (heavy use of MS-Excel)
  • Coordinate internal / external meetings, conference calls, video conferences including agenda creation, travel, lunches, dinners, etc.
  • Create, revise, enhance presentations (heavy use of PowerPoint)
  • Prepare team expense reimbursements and monitor team expenses
  • Manage calendar, special initiatives, team events
  • Joiner/leaver tasks: organise IT/comms set-up, business cards, security pass, Amex etc.
  • Phone coverage / call screening when necessary
  • Assisting in any office or desk moves
  • Assisting with Business Management tasks such as report generation, follow ups with Amsterdam and research


Qualifications and Competencies:

  • Bachelor’s Degree
  • Willing and able to work on-site, in the office
  • Ability to work closely with and as a peer of the Management Team
  • Team oriented with strong communication, analytical and problem-solving skills
  • Ability to adapt to changing environment while maintaining a positive, professional attitude; good soft skills needed
  • Highly motivated, proactive in approach, follows up, is tenacious, leaves nothing to chance, doesn’t assume
  • Be dependable and trustworthy


Experience/Knowledge:

  • 3-5 years of professional experience
  • Superior written communication skills for Email, MS-Power Point, etc.
  • Must have advanced proficiency in MS-Excel (Graphing, Charting, Pivot Tables, etc.)
  • Must have advanced proficiency in MS-Power Point (Graphing, Charting, complex diagrams)
  • Budget formulation, comparative budget analysis (vs. prior years, vs. actuals, etc.)
  • Basic understanding of accounting principles (depreciation, direct/indirect expenses, allocations, etc.)

Base Salary: $80K-$100K
