We are seeking a high energy, self-starter to provide critical administrative support to our Chief Communications Officer (CCO) as well as the world headquarters’ Communications team. This role will primarily act as right-hand to the CCO, with additional department-wide responsibilities. This position can be done remotely.
Essential Responsibilities
- Interface with all levels of the organization in a professional and effective manner
- Analyze complex information and requests to ensure timely and successful outcomes
- Handle sensitive information with the utmost confidentiality and professionalism
- Address executive customer and other stakeholder inquiries that come to the Office and direct them to the appropriate colleague, and track progress until resolution
- Plan and schedule meetings, maintain schedules (daily inbox and calendar management) and materials for meetings and conferences, making timely adjustments as needed
- Participate in preparation for quarterly all-hands calls, and leadership meetings including agenda development/management, travel and other logistical arrangements, including vendor management as needed
- Prepares presentations, emails and some written communications pieces for internal team
- Schedule domestic and international travel and make logistical arrangements; prepare meeting and travel itineraries; monitor and complete expense reports in a timely manner
- Liaise with 3rd party vendor partners/agencies to ensure scope of work development and appropriate information sharing/and intake procedures are followed
- Daily financial tracking/budget reporting for multiple cost centers; tasks include creation of purchase order requests, invoice payments, check and wire requests, onboarding new vendors into finance system, direct contact with vendors on payment updates, monthly monitoring of actuals/accruals, special requests Work in partnership with budget manager on monthly/quarterly reporting and forecasting
- Provide project management support/contribute to communications content strategy through upfront planning, tracking deadlines and deliverables, and reporting of outcomes/KPIs
- Travel may be required to support special projects and events (< 10%)
Education / Certifications
Bachelor’s degree or Associates degree, Technical/Business School Certificate or Diploma, Skilled Trades Apprenticeship, or other post high school training (two years duration) with minimum of 5 years of experience considered
Basic Qualifications
- 10+ years of progressive administrative experience, supporting senior, ideally c-suite, executives
- Excellent communication skills, both written and verbal
- Work independently with pace and accuracy to achieve initiatives
- Ability to communicate effectively with a hybrid workforce via Teams/videoconference and related technologies
- Takes initiative, is results oriented, and influences others to achieve common goals
- Highly organized with strong attention to detail, and ability to manage multiple priorities
- Project management experience with a focus on time and task management inclusive of; tracking deliverables and deadlines via clear timelines/work plans, has processes for organization and collaboration among project stakeholders, and can provide clear reporting
- Experience managing, maintaining and communicating budgets
- Strong skills with Microsoft Office (Excel, Word & PowerPoint)
