Position Summary:

We are looking to fill a temporary Executive Assitant role. Under the supervision of the President, the Executive Assistant serves as the intermediary between the President and the greater college community, providing confidential and comprehensive administrative support to the President.This position is scheduled to be 6-months in duration with the possibility of extension. Temporary assignments are still benefits eligible.

Responsibilities include, but are not limited to, managing the operations of the President's Office, composing correspondence, scheduling, room scheduling, and compiling and preparing reports; developing, monitoring, and maintaining budgetary and financial records/files; creating and maintaining spreadsheets as well as establishing and maintaining manual and electronic data base files; responding to in-person and telephone inquiries.

Hourly starting pay rate for this position is $34.00. Final pay offered is dependant on experience.

What you'll be doing:

  • Managing the operations of the President's Office.
  • Creating and maintaining spreadsheets as well as establishing and maintaining manual and electronic data base files; responding to in-person, electronic, and telephone inquiries.
  • Manages the President's calendar, including appointments, conferences, meetings, retreats, and other commitments as needed.
  • Provide direct confidential and administrative support to the President, including, but not limited to, written correspondence, recording minutes, transcriptions, editing, etc.; prepare correspondence for supervisors, but may exercise signature authority on administrative correspondence; represent and/or communicate on behalf of the President at meetings and conferences.
  • Using sound judgment respond verbally and/or in writing to requests regarding institutional and administrative policies, guidelines, and procedures and effectively resolve such inquiries in a manner consistent with the College mission, values, and policies.
  • Prepare and assist in the preparation, compilation, and coordination of reports for financial, purchasing, inventory, and personnel records for President's Office; monitors and maintains budgets and expenditures; evaluates costs for expenditures; complete all travel related documents for President's Office; completes finance and payroll documents using electronic approval process, manage time and leave for President’s direct reports, as well as personal services contracts for President's Office.
  • Facilitate, support and coordinate presidential campus committees and college-wide communications.
  • Coordinate facilities reservations, refreshments requests, catering and other arrangements for on and offsite events and meetings, such as Board of Trustees meetings, District-wide Management meeting, President's Cabinet, Executive Team, Vice Chancellor meetings, and Chancellor's Cabinet.
  • Coordinate various standing processes, including the exempt evaluation process for the President's direct reports, budget process, College Council application process, exempt contract renewal, etc.
  • Take initiative to troubleshoot and resolves concerns and/or claims on behalf of the President.
  • Chair and participate on hiring committees.
  • Trains and supervises employees and volunteers.

What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)

  • Bachelor’s degree in fields related to Business Administration OR any combination of relevant education, training and experience that indicate successful performance of the essential elements of the position.
  • Four (4) or more years of increasingly responsible administrative experience, secretarial functions, and professional support.
  • Demonstrated excellence in written and verbal communications skills.
  • Demonstrated experience in providing culturally and equity responsive service to underrepresented, marginalized and vulnerable populations
  • Demonstrated problem-solving and organizational skills, including project management skills
  • Demonstrated experience working with technology and ability to adapt to new systems including strong computer skills in Microsoft Office, Word, Excel, PowerPoint, Outlook, Adobe Acrobat, etc.
  • Demonstrated ability to work and carry out multiple assignments under pressure with short deadlines and/or frequent interruptions or distractions.
  • Demonstrated ability to exercise effective discernment and judgment in handling sensitive and confidential information.

Physical Requirements:

Ability to perform range of physical motions, exerting up to 25 pounds; lifting and carrying up to 25 pounds; standing, walking, sitting for long periods of time, kneeling, squatting, and stooping; and traversing up and down stairs.
