What You'll Do:

Serta Simmons Bedding, LLC is proud to offer a unique hybrid working experience for an Executive Assistant in the Atlanta area. As an SSB hybrid employee, you will have the flexibility of working in the office three days a week and remotely from home for the remaining two days. Hybrid remote work provides more flexibility and work/life balance that the traditional in-office working environment cannot. Duties and Responsibilities:

  • Handle highly confidential and sensitive information with discretion
  • Work onsite 3 or of 5 days per week
  • Manage calendar, email and contacts ensuring complete and accurate information
  • Organize, coordinate, update, and confirm meetings and events, prioritizing based on urgency/importance. Ensure that the executive’s schedule is manageable and balances meeting time with free time to enhance productivity of the executive.
  • Assist with events and general meeting logistics including preparing agendas and other required materials, reserving meeting space, ordering food, technical/AV requirements, meeting setup/takedown and providing meeting support. Maintain strong interpersonal relationships with employees at all levels of the organization
  • Serve as the primary point-of-contact and as liaison for the executive for day-to-day operational and administrative issues
  • Professionally answer direct and incoming calls and correspondence
  • Communicate issues with high priority deadlines that need immediate attention and follow-up to ensure items receive appropriate attention and action
  • Develop and maintain effective business contacts with vendors and services and serve as the representative of the executive and liaise with clients, vendors, peers, partners, and board members as appropriate

How You'll Do It:

  • Anticipate travel needs and proactively coordinate travel in compliance with current corporate travel policy and procedure
  • Monitor changes in schedule and proactively adjust schedule as needed and complete documents as required for travel to global locations (Visa requirements, immunizations, etc.)
  • Perform financial duties, including but not limited to, expense report processing, purchase order creation/receiving, handling of vendor invoices through purchase order processing and reconciliation, purchasing of equipment and supplies as requested
  • Maintain department calendars, records, databases, organization charts, distribution lists and other information as appropriate
  • Prepare and review corporate presentations, reports, spreadsheets, and finished documents as requested or required.
  • Maintain an organized filing system of paper and electronic documents demonstrating the ability to quickly retrieve essential documents
  • Collaborate with other Executive Assistants on projects and tasks in support of the team as needed (i.e. coordination of events)
  • May be required to contribute to projects and activities not included in other principal accountabilities to assist in the accomplishment of business objectives and professional development
  • Schedule interviews for leadership positions and prepare onboarding plan for new hires that includes high priority meetings/trainings in addition to recommendations from Executive, team leader and human resources
  • Schedule relevant meetings on the calendar and be a point of contact for questions/immediate needs during the first 30 days
  • Welcome guests and customers by greeting them and providing information, direction & support as appropriate

What You'll Bring:

  • 3+ years of experience as an Executive Assistant supporting a VP, director, and/or senior director level employee or 5+ years of experience as an Administrative Assistant
  • Strong interpersonal and communication skills and the ability to work effectively with a large, diverse community of employees and contacts
  • Extremely organized with exceptional attention to detail, strong analytical, and follow-up skills
  • Ability to prioritize conflicting needs; handle matters expeditiously, proactively solve problems, and follows through on projects to successful completion, often with tight deadlines
  • Ability to build and maintain positive and productive working relationships across a broad range of people and groups
  • Effective verbal and written communications skills
  • Ability to effectively plan, develop and coordinate multiple projects in fast paced environment
  • Ability to make appropriate, timely decisions regarding sensitive, confidential issues
  • Demonstrated ability to act independently, organize workload, set priorities, work well under deadline pressures, adapt to change and handle confidential information Ability to work independently and anticipate the need of the executive
  • Consistent, reliable, and accurate in completing tasks and assignments
  • Ability to take direction from and provide support for multiple executives
  • Knowledge/expertise, PowerPoint, Visio, Adobe Professional, Outlook, SharePoint, the Internet
