Job description
Mission: Helping Hands PRP is to inspire, empower and work with communties to alleviate poverty through education, advocacy, and providing physical and wellness services.
General Statement Of Duties:
Enhances Exective Director's effectiveness by providing information management support; as well as providing, efficient and proficient management of work assignment.
Examples Of Work:
Responsible for coordinating all Team Meetings and Events; by planning/ organizing event, preparartion, coordination, and arrangements.
- Responsible for Purchasing and maintaining office supplies, purchase iteams for events and team meetings, run errands to ensure office is running smoothly.
- Produce information by transcibing, formatting, inputting, editing, retrieving, copying, and transmitting data, charts and graphics where need be fit.
- Conserves exective's times be readi, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintain executive's appointments schedule via zoom by planning and scheduling meetings, conferences, an teleconferences.
- Coordinating Social Media correspondences and updating website (handling collection of client and staff pictures for event posting to website.)
- Developing, coordinating and organizing weekly to do list.
- Coordinating and handling of press releases, under the direction of the CEO and Directors.
- Represent by speaking on behalf of the ceo via zoom meetings or by teleconference in matters pretaining work related issues accompany by director of staff in absence of the ceo.
- Welcome guest and customer s by greeting them, in person or on the telephone; answeringor directing inquiries.
- Maintains customre confidence and protects operations by keeping information confidential.
- Complete day to day projects and follow up on results.
- Responsible for creating and coordinating / publishing mental health Newsletters & Brochures.
- Prepare reports by collecting and analyzing information.
- Secure information by completing data base backups.
- Provide, develop and record minute meeting discussions.
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Maintain professional and techical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Contributes to team effort by accomplishing related as needed.
- Other duties as assigned
Required Knowledge, Skills And Abilities:
Proven success in the following job competencies: Mental Health (PRP) MS Ofiice Suite, Communication and Presentatio, Strong organizational habits, Customre Focus and Relationship Building, Information and Technology Proficiency, Leadership, Problem Solving and Decision Making, Ability to communicate effectively, establish rapport, and maintain effective working relationships with individuals, therapists, and community agencies; Possession of valid motor vehicle operator's license and clean driving record.
Acceptable Experience And Training:
Typing spreed of 45 wpm; Proficiency in MS Office Suite; Outlook, Excel, PowerPoint Graphs, Charts, and/or equivalent combination of experience and training, which provides the required knowledge, skills and abilities.
