As the Executive Assistant of CAES, you will be an integral part of our executive team and a strategic partner providing high-level administrative support for multiple Executives’ and must have a can-do attitude for success and bring positive energy to the team. Support will include managing Executives’ daily calendars for scheduling and related adjustments, preparing and updating presentations (Power Point), expense tracking and submittal (Concur), email management (Outlook), coordinating travel (Egencia), general electronic file maintenance, external visitors/group events, including board member related activities. This role may call for other general administrative support as needed to other leaders of the organization. Responsibilities:

CAES is seeking a confident, goal-driven Executive Assistant who is a master of meeting, calendar and inbox management; expert travel agent; the communications ambassador and team collaborator to directly support our CEO and other Senior Executive level members of CAES. The right person is ambitious, self-motivated, resolution oriented, with sound decision-making skills and not allergic to helping the Executives’ with all tasks - understanding that helping our busy Executives’ gain back time is ROI.
As the Executive Assistant of CAES, you will be an integral part of our executive team and a strategic partner providing high-level administrative support for multiple Executives’ and must have a can-do attitude for success and bring positive energy to the team. Support will include managing Executives’ daily calendars for scheduling and related adjustments, preparing and updating presentations (Power Point), expense tracking and submittal (Concur), email management (Outlook), coordinating travel (Egencia), general electronic file maintenance, external visitors/group events, including board member related activities. This role may call for other general administrative support as needed to other leaders of the organization.
- Perform day-to-day tasks including, but not limited to: managing detailed business and personal calendars, meetings and logistics; handling communications; preparing materials; and setting up company activities
- Proactive Meeting Preparation and Follow-up:
- Managing the meeting cadence for executive team, setting clear expectations on what materials are expected in advance by attendees, schedule meetings, set up the conference room and set up catering for meetings
- Reviewing upcoming meetings for the week to ensure the executive team has all of the information needed (such as read-ahead material, talking points, and other relevant resources) to be as productive as possible and sending out agendas or documents to meeting attendees as necessary
- Travel and Events:
- Perform research related to executive travel, events planning and other matters at the direction of the executives; manage special projects and special events
- Arrange travel agendas; prepare travel and expense reports on a timely basis
- Other projects as assigned
Minimum:
- High School Diploma
- Seven (7) years of administrative assistant experience with a minimum of five (5) plus years previous experience in a position(s) supporting Senior Executive level members
Preferred:
- Bachelor's Degree
- Previous experience in directly supporting President/CEO
- Active Notary
- Intermediate or better skill in Microsoft Office (Outlook, Word, Excel, Zoom, Skype and PowerPoint)
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including senior staff, associates, investors, clients and external partners/vendors
- Expert level written and verbal communication skills
- Proven ability to handle confidential information with discretion
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
- Forward looking thinker, who actively seeks opportunities
