What You'll Be Doing:
The Executive Assistant is responsible for providing comprehensive support to the CEO, and Executive Team. This dynamic position requires the ability to anticipate needs, think critically and offer solutions to problems with a high level of professionalism and confidentiality.

The successful candidate will be able to:

  • Provide general administrative support for the Chief Executive Officer including coordination of scheduling, calendaring, and time management
  • Manage external contacts to proactively understand who they are, which are priority contacts and keeping track of periodic communication needed
  • Anticipate the CEO’s needs and proactively bring together appropriate people and resources to support in addressing issues
  • Anticipate need of all meetings and events to ensure their success, such as coordinating: visitor badges, on site audio/video support, virtual (e.g., Teams/zoom for Business), essential meeting materials, and food and beverage
  • Manage expense reporting, equipment ordering and maintain supplies, team lists, rosters, databases, distribution lists, etc.
  • Keep the CEO informed of progress, changes, delays, and outcomes of ongoing issues/projects, as well as prepare communication documentation (reports, etc.) associated with such
  • Prepare and manage work projects as needed
  • Manage phones, and screen/sort/prioritize and distribute mail, payment requests/billing issues
  • Coordinate activities associated with the Executive Team including assessment of the importance/priority of requests, coordination of meetings between relevant parties
  • Provide high quality work and services in a timely manner
  • Work cooperatively with other Administrative Assistants, in close partnership to provide reciprocal back-up
  • Perform any and all other duties as assigned

What We're Looking For:
  • High School Diploma with related business or secretarial school courses to include typing & shorthand
  • Minimum 5+ years administrative/secretarial working with C-suite level Executives
  • Excellent PC software skills, specifically with Microsoft Office Suite
  • Strong organizational skills and ability to multi-task
  • Ability to quickly adapt to change, navigate ambiguity, and constantly looking for ways to learn and grow
  • Excellent verbal and written communication and interpersonal skills required, with the ability to work professionally with senior management
  • Work independently, requiring minimal or no oversight and guidance
  • Action-oriented: ability to manage and execute multiple complex projects at a once and deliver in a timely manner
  • Ability to work under pressure in an environment with flexibility to adapt to changing work priorities
