The Personal Assistant (PA) works closely and effectively with the Executive Director (ED), keeping them well informed of upcoming commitments and responsibilities and following up appropriately. The person in this role should demonstrate authenticity and diplomacy to maintain credibility, trust, and integrity and ensure that the ED is equipped with all program support materials and reports. The PA will assist with the preparation of documents for meetings, and managing the calendar of the ED. They will also takes notes and initiates action items for various internal and external meetings, including senior staff meetings, executive board and advisory council meetings, and partnership meetings. Assists in the preparation of materials and organizing of confidential files. Prioritizes conflicting needs; handles matters independently, expeditiously, and proactively; demonstrates great follow-through on projects to ensure successful completion, often with short deadlines. The PA should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. This individual should be able to draft documents and help the ED with any necessary meeting preparations. In addition to performing business duties, the PA should be comfortable with running errands as well as attending social events for networking and company functions with high net-worth individuals.
Duties and Responsibilities
- Acting as the first point of contact between the ED and internal/external clients via phone calls and other methods of communication.
- Managing and organizing diaries, and scheduling appointments, meetings, and events.
- Taking meeting minutes.
- Submit expense reimbursements.
- Run errands as needed.
- Making transport, business accommodationand travel arrangements.
- Organizing events and conferences.
- Preparing reports, presentations and briefs.
- Maintaining databases and filing systems.
- Conducting research on behalf of the ED.
- Experience with a variety of social media platforms.
- Willing to learn new software and systems.
Required Education & Experience:
- High school diploma or equivalent education required
- 3 years of administrative assistant experience
- Knowledge of appropriate software including: Microsoft Office, Google Suite, and Adobe Acrobat

organizations.

Strong organizational skills, including the ability to work in a fast-paced environment.

Pay: Up to $25.00 per hour
