Job Overview: The Administrative Assistant provides administrative and clerical support to the Facilities Office Manager and Director to assist with daily operations, ensure inventory availability, and help maintain all reports and preventive maintenance schedules. The admin assistant is responsible for providing support to ensure facilities services are provided in an effective and efficient manner, as well as being the initial point of contact for the Facilities department.

Essential Duties and Responsibilities include the following:
- Provides full administrative assistance to Office Manager and Director in order to help them accomplish their projects, goals and yearly plans.
- Answering phones and greet visitors
- Monitoring and ordering office inventory and supplies
- Schedules meetings, maintain calendars and coordinate staff and other meetings
- Prepare communications, such as memos, emails, invoices, reports and other correspondence
- Write and edit documents from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Assists with department budget by monitoring purchases to ensure the department does not exceed budgeted areas
- Responsible for conducting research and complying material into reports
- Attends and schedules meetings, takes notes and sends out meeting notes and reminders to appropriate parties
- Maintain and update Monday.com as needed
- Assists department with various tasks during ministry events
- Other duties may be assigned
Professional Qualifications:
- Proficient with Microsoft Office
- Accounting/budget experience is preferred
- Fluent in both English and Spanish, verbal and written
- Strong organizational skills
- Excellent intra and interpersonal skills
- Excellent time management skills
- Excellent multitasking skill
- Must work well under pressure and in fast paced environments
- Ability to maintain confidentiality
- Ability to quickly learn new software systems
Education and/or Experience Requirements:
- Minimum level of education for an Administrative Assistant is a high school diploma or GED
- Previous experience in office administration or other related fields
- Minimum of 2 years’ experience providing administrative support
