Job Title: Facilities Administrative Coordinator

Job Location: Lemont Furnace, PA (Uniontown area)

Position Summary

Advanced Acoustic Concepts is seeking a Facilities Administrative Coordinator at our Lemont Furnace, PA location. This position will assist the facility manager and functional departments with coordinating and implementing administrative needs and requirements. This position will also have secondary responsibilities in a general facilities specialist role performing regular office maintenance on an as needed basis.

Primary and Essential Accountabilities

  • Will assist facility manager and other functional departments with administrative tasks
  • Will coordinate on-site service contractors including collecting required contractor documentation, receiving, logging, and supervising/escorting all contractor visitors while they are on-site.
  • Will coordinate and ensure customer service is a top priority during onsite meetings to ensure that all customer meeting requirements are in place from start to finish, (i.e., room reservations, food and food service ordering, preparation and setup, conference seating setup, and all other hosting and hospitality needs are handled efficiently and on a timely basis.
  • Will perform facility maintenance tasking in a general facilities specialist role.
  • Will maintain accurate office supply and food inventory, order and re-stock to maintain required supplies and food items. This includes pro-active management of paper supplies and toners for all copiers in the building, doing checks ensuring machines are in proper working condition.
  • Will assist in performing troubleshooting, diagnostic evaluations, checking facility thermostats and other checks around facility ensuring systems are functioning optimally, doing routine inspections on equipment as required.
  • Assist facility manager with required documentation, such as emergency planning documentation, updating and creating floor plans and other facility related building documentation.

Secondary Accountabilities

  • May be tasked to coordinate special projects and other ad hoc assignments as needed to assist facility Manager, i.e. (special office events picnics, holiday events, fund raisers)
  • May assist with domestic and international travel arrangements as needed.
  • Maintain an inventory of facility tooling, and keep assigned storage areas clean and organized
  • Follow company and departmental policies, procedures, and guidelines in daily work routines and assignments
  • Perform all work in accordance with established safety procedures
  • Complete appropriate paperwork in a proper manner for the purchase, stocking and re-stocking
  • Support and communicate the mission, values and culture of the organization

Basic Qualifications

  • 2+ years’ experience in a similar role required or
  • Proficient with Microsoft Office Suite including Word, Excel
  • Ability to interact effectively at all levels and across diverse cultures
  • Ability to provide general office and facility maintenance tasking

Physical Requirements

  • Lifting (up to 25 lbs.): up to 0-25% of time
  • Walking: up to 50% of time
  • Climbing, Bending, Standing, Stooping: up to 10% of time
  • Sitting: up to 50% of time
  • Travel: up to 0-10% of time

AAC works on a 9/80 compressed work schedule whereby employees work 80 hours in 2 weeks with every other Friday off.
