FACILITIES USE COORDINATOR
Administrative Analyst/Specialist
Special Projects Budget


Salary Range: $4,170 - $7,545/Monthly


Work Schedule: Full-Time, Monday – Friday, 8:00 a.m. to 5:00 p.m.; temporary one-year appointment from date of hire. May be extended, may become permanent; exempt classification.


Essential Functions: Under the general direction of the Assistant Director of Administrative Operations and Facilities Use, the Facilities Use Coordinator is responsible for assisting with scheduling and logistics coordination of events and activities requested by off-campus groups and organizations, supporting general departmental administrative tasks, serving as an onsite coordinator for events, assisting with special projects related to events and facilities use, serve as a liaison with on-campus partners, monitor external space usage on daily basis, and organizing and coordinating event schedules for event managers and student-employees; use with facilities and conference coordination including venue selection, communications, and paperwork, providing estimated charges, and sending confirmation package; respond to general event inquiries in a timely manner and communicate with other campus partners to facilitate use of other facilities as needed; assist on-campus groups with events sponsored by departments, clubs, and orgs, directing them to appropriate campus service areas; confirm space availability; communicate and work with campus service reps (Facilities Services, Public Safety, EHS, etc.) to coordinate event logistics and answer questions related to on-campus events; assist with processing and coordination of film applications (both student and non-student requests) with internal and external stakeholders; Coordinate and monitor use of the main walkway and exterior locations on campus; Assist with gathering information and preparation of lease agreements and processing requests for invoices as assigned by Assistant Director of Administrative Operations and Facilities Use; act as onsite facility manager for on-campus facility rentals. Coordinate schedules for student assistants and/or casual workers during special events. Enforce University policy and operating procedures; and address onsite problems or report to appropriate campus departments.


Required Qualifications & Experience: A bachelor’s degree from an accredited four-year college or university and two years of progressive experience in event planning. The incumbent must have strong oral and written communication skills, and public relations and promotional skills. The incumbent must have the ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved; anticipate problems and address them proactively; train others on new skills and procedures; maintain cooperative working relationships with clients, as well as staff, faculty and administrators of the University; and strong organizational and coordination abilities. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University.
