Flight Operations Records Specialist

Overview:

The Flight Operations Records Specialist is primarily responsible creating and maintaining pilot & crewmember records in accordance with Company procedures and FAA requirements. He/she will also be involved in other administrative duties related to Part 135 flight operations.

Flight Operations Records Specialist must be experienced with generating and maintaining pilot/crewmember records, and have a comprehensive knowledge of the General Operations Manual, Training Manual, and FAA regulations.

Essential Duties and Responsibilities:
Under the general guidance and direction of the Flight Operations Manager and Director of Operations, the Flight Operations Records Specialist shall perform the following:

  • Create Necessary Records for newly hired pilots and crewmembers in accordance with Part 135 regulations.
  • Maintain Records for current pilots and crew in accordance with Part 135 regulations
  • Communicate with Flight Operations Manager, Director of Operations, Chief Pilot and Director of Training & Standardization manager.
  • Communicate regularly with Flight/Safety Instructors, RAMs, RMMs, BAMs and BMMs
  • Interacts with pilots and other company personnel for gathering data, disseminating information, resolving FlightLog, paperwork and processing/records keeping issues.

  • Responsible for Ordering, maintaining and tracking ALSE Items as needed
  • Insures that Initial and Recurrent training records are posted, filed, and maintained appropriately.
  • Audits records on a monthly basis to ensure that all credentials are up to date and to confirm flight currency
  • Maintains organized paper records for backup at the PBO to be review by the FAA and POI.
  • Updates the records on SharePoint, Shared (Z) Drive), and backup External Hard Drive to mirror the printed records at the PBO.
  • Answers and assists with all calls and questions that come through the main PBO line

  • Other duties as assigned.

  • Mandatory overtime one week each month for Operational Control Form and On-Call for Pilot Emergencies

Administrative :
  • Makes all appropriate notifications to the Flight Operations Manager, Director of Operations, Chief Pilot or Training Manager regarding all internal and external reportable events.
  • Demonstrates working knowledge of the contents of the, Operations Manual, Operations Specification, Policies and Procedures and all Federal Aviation Regulations pertaining to Part 135 Regulations.
  • Maintains current reference material as required.
  • Regularly reviews Records in both their printed and electronic format to ensure accuracy, compliance and to help develop systems to enhance timeliness and minimize errors.

  • Ability to communicate professionally, effectively and persuasively both orally and in writing at all levels of the organization.

  • Excellent public relations, interpersonal, and customer service skills.
  • Excellent computer skills including Microsoft Office Suite and various other computer based software programs.

Reporting Relationship:

Reports directly to Flight Operations Manager
